Patient & Site Operations Coordinator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Patient & Site Operations Coordinator based in United States.

This role serves as the operational backbone of a rapidly scaling network of clinical treatment sites, ensuring that patients move seamlessly through scheduling, intake, treatment sessions, and follow-up care across multiple locations. You will coordinate real-time operations between remote teams and in-person clinics, supporting high-quality patient experiences while maintaining strict regulatory and program compliance. The position requires strong expertise in Spravato® (esketamine) clinic operations and a deep understanding of patient flow, REMS requirements, and behavioral health workflows. You will act as a critical connector between clinical teams, operations, revenue cycle, and product stakeholders. A key part of your impact will be ensuring consistency, efficiency, and compliance across all sites in the network. This is a highly detail-oriented and mission-driven role in a fast-scaling healthcare environment where operational excellence directly impacts patient outcomes.

Accountabilities:
  • Coordinate day-to-day operations across multiple Spravato treatment sites, including patient scheduling, session flow, and throughput management across locations.
  • Manage intake processes, insurance prior authorizations, and REMS-required documentation to ensure compliance and timely patient access.
  • Serve as a primary operational contact for patients, supporting scheduling, preparation, and program-related inquiries.
  • Monitor and ensure ongoing compliance with Spravato REMS program requirements across all sites, identifying gaps and partnering with clinic teams to resolve issues.
  • Oversee supply and inventory tracking, including Spravato medication stock and clinical equipment, ensuring timely replenishment across sites.
  • Track patient outcomes, attendance, and session completion metrics to support reporting and operational visibility.
  • Collaborate with site setup, revenue cycle, and clinical operations teams to implement workflow improvements and escalate patient or site-level issues.
  • Troubleshoot real-time operational challenges such as scheduling conflicts, no-shows, and clinical escalations across the network.
  • Support onboarding and training of new clinicians and partner sites into established operational workflows.
  • Provide input to product and systems teams based on frontline operational experience to improve tools and processes.
Requirements:
  • 2+ years of direct, hands-on experience working in a Spravato® (esketamine) clinic environment.
  • Strong understanding of REMS requirements, esketamine administration protocols, and associated compliance standards.
  • Proven experience managing patient scheduling, clinical operations, and multi-patient workflows in a fast-paced healthcare setting.
  • Familiarity with EHR systems, scheduling platforms, and insurance prior authorization processes.
  • Strong organizational and multitasking skills with the ability to manage multiple sites and patient flows simultaneously.
  • Excellent communication skills, with the ability to interact effectively with patients, clinicians, and cross-functional teams.
  • High attention to detail with strong adherence to documentation and compliance standards.
  • Ability to work remotely while coordinating real-time, on-site clinical operations.
  • Experience in multi-site behavioral health or psychiatric care environments is a plus.
  • Prior exposure to onboarding or training clinical staff in operational workflows is an advantage.
