Brightwild is looking for a full-time Facilities Manager to join our team. This person will plan, organize, and direct the programs and daily operations of the Facilities Management Department. Responsibilities include establishing and maintaining preventive maintenance practices, minimizing guest interruptions caused by facility failures, and implementing predictive maintenance techniques to reduce operational issues.

Duties include conducting routine safety inspections, coordinating with contractors, planning and scheduling maintenance work, maintaining records, supervising Facilities staff, and ensuring work orders are completed and billed accurately.

This is a working Facilities Manager position and is not purely administrative. The Facilities Manager will be expected to respond to work orders, assist with troubleshooting and repairs, conduct property and unit inspections, and perform billable maintenance work when operationally necessary. Our ideal candidate is well-versed in facilities management processes and demonstrates strong multitasking and organizational abilities while maintaining a focus on the guest experience.

This is a salaried managerial position. Primary workdays will be Tuesday through Saturday.

What You’ll Do

The primary responsibility of the Facilities Manager is to receive requests from our teams and schedule maintenance technicians and vendors. Responsibilities include:

  • Manage reactive and preventive maintenance for units and properties.
  • Coordinate and complete owner projects.
  • Oversee landscaping and pool-cleaning operations.
  • Respond directly to work orders and assist with maintenance tasks when needed.
  • Accurately document and bill labor hours, materials, and other charges associated with completed work orders.
  • Conduct property, unit, safety, and maintenance inspections.
  • Work with department heads and team members to identify operational problems and improvement opportunities.
  • Review work orders daily to ensure labor, materials, notes, and billing information are complete and accurate.
  • Communicate with the Accounting Department to verify Facilities spending, billing, and job-costing information.
  • Monitor operating results and recommend practical modifications and process improvements.
  • Eliminate duplicated resources and inefficient workflows.
  • Help technicians meet the performance standards and KPIs established for the Facilities Team.
  • Communicate with the Guest Experience Team regarding unit readiness and maintenance-related guest concerns.
  • Coordinate contractors, vendors, and outside service providers.
  • Maintain accurate maintenance records, schedules, and supporting documentation.

This position will primarily involve office-based coordination and management, but regular field participation is required. The Facilities Manager must be prepared to visit properties, inspect units, respond to work orders, troubleshoot maintenance issues, and perform billable maintenance work when necessary.

This position may include limited hybrid flexibility based on operational needs. However, the role requires regular in-office and field presence and cannot be performed as a fully remote or purely administrative position.

Requirements:
  • Experience with basic property and building maintenance.
  • Reliable transportation.
  • Smartphone or similar device for communication and work-order management.
  • Strong computer skills, as the position’s primary tools include computer applications and maintenance-management platforms.
  • High level of organization and attention to detail.
  • Basic accounting, budgeting, billing, and job-costing skills.
  • Ability to manage, coach, and hold a team accountable.
  • Ability to regularly lift more than 20 pounds.
  • Ability to troubleshoot and assist with maintenance issues.
  • Ability to accurately track, document, and bill labor hours.
  • Ability to manage time and priorities independently.
  • High level of customer service when interacting with guests, owners, vendors, and team members.
  • Schedule flexibility based on operational needs.
