Job Description
The Role
Are you a highly organized professional who loves keeping complex projects on track? We are looking for a senior Project Coordinator III to serve as the structural backbone for our high-growth field operations within our Florida operations. Working directly with our Assistant Project Managers (APMs) and Project Managers (PMs), you will manage project tracking, purchasing, job costing, and subcontractor coordination.
This is a senior-level coordination role for a self-starter who takes personal accountability for data accuracy and ensures absolutely nothing falls through the cracks.
What You’ll Do
- Project Ownership: Track critical project milestones, manage local permitting/licensing processes, and lead vendor coordination and subcontractor onboarding.
- Financial Tracking: Own all project-related purchasing and job costing, ensuring the absolute accuracy of project data.
- Scoping & Estimating: Independently develop estimates, proposals, and scopes of work for smaller assignments (surveys, maintenance, inspections) and assist PMs with major project rollouts.
- Documentation & Support: Keep field and PM teams running efficiently by assembling closeout packages, survey reports, and project documentation.
- Brand Ambassadorship: Represent the company at local trade shows and industry events to support corporate visibility.
Who You Are
- A Master Organizer: You excel at software and project tracking tools, and you enjoy keeping fast-moving data visible and ordered.
- Clear Communicator: You can seamlessly manage client expectations, mentor junior team members, and escalate field or safety concerns to leadership quickly.
- Ethical & Accountable: You operate with total integrity and high personal standards for accuracy.
- All Hands: You enjoy collaboration and pop-up situations that diverge from the every day routine. (For instance, planning a Christmas Party or temporarily picking up a portion of extra work for a colleague)
- Field-Ready Aptitude: You have a high school diploma (or equivalent), strong computer skills, a valid driver’s license with a clean record, and basic mechanical aptitude.
- Physically Capable: Ability to lift 50+ lbs (on occasion) to assist with material staging or shop/field support when needed.
What Success Looks Like (KPIs)
We measure success by the health of our data and the efficiency of our crews:
- Flawless project tracking where data is highly visible and accurate.
- Zero delayed starts due to missed permits, sub onboarding, or purchasing errors.
- High reliability, consistent attendance, and safe habits in the shop or field.
- Proactive identification of process improvements that lighten the team's workload.
