Keep Academic Operations Running and People Connected

The University of Kentucky is seeking a Department Academic Administration Associate to serve as a vital hub for administrative operations, academic program support, and day-to-day coordination within a dynamic academic department.

This role sits at the center of people, process, and academic support, ensuring that faculty, students, and leadership have what they need to succeed. You’ll help drive efficiency across departmental operations, support key academic programs, and connect stakeholders across the college and university, all while contributing to a welcoming and highly organized environment.

What You’ll Do
  • Coordinate and support daily departmental operations, including front office management, scheduling, and workflow optimization
  • Provide administrative and logistical support to faculty, leadership, and academic programs
  • • Manage student records, course scheduling, and program communications, ensuring accuracy and timely execution
  • Serve as a liaison between the department and university partners, including the Dean’s Office, Business Center, and Enrollment Management
  • Support purchasing, travel, and financial processes, including expense reports, procurement requests, and record reconciliation
  • Maintain and organize departmental systems, documentation, and digital platforms (e.g., SharePoint, Teams)
  • Assist with faculty onboarding, graduate admissions, and departmental events
  • Deliver responsive, professional customer service to students, faculty, and external stakeholders

  • Experience in administrative operations, office management, or academic support environments
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • Attention to detail and accuracy in handling records, schedules, and financial processes
  • Proficiency with Microsoft Office and enterprise systems (e.g., SAP, reporting tools, or similar platforms)
  • Ability to communicate effectively and collaborate with stakeholders
  • Problem-solving skills and sound judgment in a fast-paced, service-oriented environment
  • A proactive approach to improving workflows and supporting team success

Minimum Requirements
  • Associate’s degree
  • 4+ years of related experience
