Position Summary
The Lynchburg Humane Society is seeking an experienced, organized, and mission-driven Practice Manager to lead the daily operations of our new Margaret Terrell Belcher Osteen Regional Veterinary Clinic, scheduled to open in January 2027.
The Practice Manager will oversee the administrative, financial, and operational functions of the clinic, ensuring an exceptional experience for clients, patients, and staff. Working closely with the Director of Operations and the Executive Director, the Practice Manager will help build a high-performing team, develop efficient systems and processes, and support the clinic's mission of providing high-quality, affordable veterinary care to pets and families throughout the region.
This is an exciting opportunity to help launch a brand-new, 12,000-square-foot veterinary clinic designed to expand access to care, increase spay/neuter capacity, and strengthen the human-animal bond by helping families keep their pets healthy and at home.
Essential Duties and Responsibilities
Leadership and Team Management
- Recruit, train, supervise, and support client service representatives, veterinary assistants, technicians, and other non-veterinarian staff.
- Foster a positive, collaborative, and mission-driven workplace culture.
- Develop staff schedules to ensure appropriate coverage and operational efficiency.
- Conduct performance evaluations and provide coaching, mentorship, and professional development opportunities.
- Promote employee engagement, accountability, and retention.
Clinic Operations
- Oversee day-to-day clinic operations to ensure efficient workflow and excellent client service.
- Develop, implement, and maintain operational policies, procedures, and best practices.
- Monitor appointment scheduling, patient flow, and staffing needs.
- Ensure facilities, equipment, and supplies are properly maintained and available.
- Coordinate with vendors, contractors, and service providers as needed.
- Assist with the planning and implementation of new programs and services.
Financial Management
- Assist with annual budgeting, forecasting, and financial planning.
- Monitor clinic revenue, expenses, and key performance indicators.
- Ensure accurate billing, invoicing, and payment collection processes.
- Support inventory management and purchasing to maintain cost-effective operations.
- Analyze operational and financial data to identify opportunities for improvement.
Client Experience
- Ensure exceptional customer service and a welcoming environment for clients and patients.
- Address client concerns and resolve service issues professionally and compassionately.
- Support client communication regarding services, fees, scheduling, and clinic policies.
- Promote the clinic's affordable care model and available resources.
Human Resources and Compliance
- Ensure compliance with employment policies, workplace safety standards, and applicable regulations.
- Maintain OSHA compliance and support risk management initiatives.
- Assist with onboarding, training, and personnel documentation.
- Partner with Human Resources on employee relations matters and organizational initiatives.
Collaboration and Community Engagement
- Work closely with the Medical Director to align operational and medical goals.
- Collaborate with Lynchburg Humane Society leadership on planning and organizational priorities.
- Support community outreach, fundraising efforts, and educational programs as appropriate.
- Represent the clinic and the Lynchburg Humane Society in a professional manner within the community.

Requirements:
Qualifications
Required
- Bachelor's degree in business, healthcare administration, veterinary management, or a related field, or equivalent combination of education and experience.
- Minimum of three years of management or supervisory experience.
- Strong organizational, leadership, and problem-solving skills.
- Excellent communication and interpersonal abilities.
- Proficiency with computer systems and practice management software.
- Ability to manage multiple priorities in a fast-paced environment.
Preferred
- Veterinary practice management experience.
- Certified Veterinary Practice Manager (CVPM) designation.
- Experience in nonprofit, community medicine, shelter medicine, or high-volume veterinary settings.
- Knowledge of veterinary practice operations, medical terminology, and client service best practices.
- Experience with budgeting, financial reporting, and performance metrics.
Physical Requirements
- Ability to work in a veterinary environment with exposure to animals, cleaning products, and occasional loud noises.
- Ability to safely interact with animals of varying sizes and temperaments.
