Job Description
SUMMARY / OBJECTIVE
The International Logistics Specialist is responsible for coordinating international logistics from customer order entry through final shipment to customer. Prepare Proforma invoices and secure rate quotes for shipments based on OraSure freight contracts. Monitor and expedite orders from manufacturing through final delivery to the customer. Prepare and/or coordinate preparation of international shipping documentation and ensure compliance with the Letter of Credit when applicable. Assist with customs clearance issues, duty and tax analysis, and other activities associated with international trade compliance as requested. The ideal candidate would be a subject matter expertise in global trade regulations and experience with customs operations.
ESSENTIAL FUNCTIONS & RESPONSIBILITIES- Verify required terms of sale including Incoterms.
- Ensure profitability while accommodating customer requests. Secure rate quotes from select carriers as required.
- Maintain a professional working relationship (not strictly transactional) with carriers/partners.
- Compare and negotiate rates to determine cost-efficiency, competitiveness, and quality of service. Create Proforma invoices that are linked to payment process(es) and to secure official PO.
- Enter all relevant Sales Order documentation into SAP.
- Coordinate product availability and storage with Production/Planning.
- Prepare or coordinate preparation of import/export documentation including but not limited to: Shipper's Letter of Instruction, Commercial Invoice, Packing List, Certificate of Origin, AES Filing, Certificate of Analysis, Pre- Shipment Inspection and Sampling as required, Letter of Credit, Bill of Lading, Declaration of Conformity, Letter of Export and other unique requirements that are country-specific (i.e. ISO Certificate, GMP Certificate, Manufacturer’s Declaration etc.).
- Track all in process shipments to the end destination.
- Serve as the primary point of contact for customers, facilitating order placement, addressing inquiries, and proactively managing shipments to ensure on-time delivery and customer satisfaction.
- Work with freight forwarders, carriers, customs brokers, and other third parties such as inspection agencies to coordinate customer shipments and to provide contingency plans when/if needed.
- Assign Harmonized Tariff Schedule (HTS) codes based on customs regulations and product data
- Facilitate and track international shipments between manufacturing and final delivery to customer. Assist with duty and tax analysis as requested.
- Resolve customs clearance issues by working with carriers and brokers. Assist with any regulatory requirements as requested by customers.
- Additional duties to assist logistics and customer care as requested.
- Includes conflict resolution, coordination with production and sales team to accommodate customer requests for availability, align with sales forecasts on quarterly and other date-specific goals for the department and the organization as a whole.
- Fulfill promotional marketing requests from Sales & Marketing. Maintain account management of major customer accounts.
- Assist with audits as needed.
QUALIFICATIONS
- A reliable and high-speed internet connection is necessary for seamless communication while working remotely.
- Well-developed knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint). Familiarity with SharePoint, OneDrive, and Teams.
- SAP Knowledge preferred.
- Proficient in freight forwarding software and logistics management systems.
- Ability to effectively communicate complex information to different audiences, both written and verbally, and collaborate effectively within a team.
- Strong understanding of international trade regulations and customs procedures. Proficient in preparing international shipping documentation.
- Knowledge of customs clearance procedures and duty/tax analysis.
- In depth technical knowledge of global Trade Compliance principles (customs valuation, incoterms, license and permits, country of origin, HTS classifications, duty optimization / Free Trade Agreements, export controls and sanctions etc.)
- Strong attention to detail and compliance with shipping regulations.
- Ability to work independently and as part of a team in a fast-paced environment. Strong analytical, organizational, and problem-solving skills.
Education/Experience
Bachelor's degree in Logistics, International Business, or a related field. Minimum of 3-5 years of experience in international logistics or a related field.
Physical Requirements
The role primarily operates within an office and/or home office environment, necessitating the utilization of standard office equipment such as computers, keyboards and phones. Employees are expected to perform general mobility functions for desk-based work including sitting or standing for long periods of time while frequently viewing a computer screen and engaging in tasks that require fine motor skills, such as typing and handling paperwork. Additionally, the role may involve the ability to lift and/or move objects up to 15 pounds, as well as walking short distances.
Travel Requirements
Travel may be required to support local Bethlehem, PA sites within a 10-mile radius. Additional limited travel upon request may be required for meetings, training, audits, or collaboration with other company locations or external partners.

Maintains positive relationships with international carriers, customs authorities, and other relevant parties. Keeps stakeholders informed about shipping schedules, delays, and changes.
