Job Description
Job Summary:
The Information Systems Specialist is responsible for supporting operational efficiency, compliance, and end-user functionality within athenahealth and related systems. This role integrates document routing, user management, and frontline system support to ensure accurate information flow, secure access management, and optimized clinical and clerical workflows.
The position requires frequent communication with administrative staff, clinical teams, and external partners to support system use, troubleshoot issues, and improve workflow
Key Responsibilities:
Document Routing & Processing: Support inbound document workflows to ensure accurate routing and timely processing of clinical and administrative information. Specifically documents sent in error to the organization and need to be re-routed back to sending facility.
User Management & System Administration: Support onboarding and offboarding workflows, including user provisioning, access management, and system permissions.
Training and Support: Provide system orientation, that includes giving brief overview of Athena resources (Success community, O-Help, Intranet/Sharepoint workflows). Supporting directors as a resource for clerical EHR-related workflows that require escalation.
Workflow Optimization: Collaborate with leadership and stakeholders to improve system workflows, document routing processes, and operational efficiency.
Compliance: Ensure adherence to HIPAA and organizational standards related to PHI handling, user access, and documentation practices.
Job Duties:
- Responds to incoming documents that require triaging. This could include items that need to be re-routed back to sending facility, properly routing internally, or escalating for interface review.
- Creates, modifies, and deactivates user accounts across athenahealth and connected systems
- Assigns roles, permissions, and access levels based on job function
- Maintains user lists and supports access audits
- Provides Athena orientation and assigns training modules for new staff
- Provides targeted, intentional clerical EHR support as identified and directed by practice directors.
- Troubleshoots issues related to orders, tasks, referrals, results, and document queues
- Identifies patterns of recurring issues and escalates appropriately
- Assists with workflow improvements, templates, and system optimization efforts
- Participates in system testing, updates, and workflow enhancements
- Participates in Athena Governance, and supports communication to directors and staff regarding updates.
Requirements:Qualifications:
Education: Associate degree or equivalent experience required; healthcare, IT, or related field preferred
Experience: Experience with EHR systems (athenahealth preferred); healthcare operations or system support experience preferred
Skills: Strong organizational and analytical skills; attention to detail; knowledge of HIPAA and PHI handling; effective communication and training abilities; ability to manage multiple priorities
Working Conditions:
Environment: Office setting within a healthcare organization
Hours: Full-time, Monday to Friday, with flexibility and potential for hybrid/remote work
