Job Description
Job Summary
The Office Assistant provides administrative and clerical support to ensure efficient daily operations within the office. This role is responsible for handling routine tasks such as filing, data entry, customer service, and assisting other departments as needed to support the overall business functions of the ready-mix concrete company.
Key Responsibilities
• Answer and direct phone calls, take messages, and greet visitors in a professional manner.
• Provide customer support by handling inquiries in a timely manner.
• Perform data entry for AR and AP accounts.
• Assist with hauling tickets and data entry.
• Maintain and organize physical and electronic filing systems.
• Assist with billing, collections, and basic accounting tasks as assigned.
• Prepare and submit bids.
• Manage Customer Accounts and their PO systems.
• Prepare correspondence, reports, and other documents as needed.
• Pick up mail from Post Office and process incoming mail and packages.
• Support Controller and other admin staff as needed.
• Ensure confidentiality and accuracy of company and customer records.
• Perform other administrative duties as assigned by management.
Qualifications
• High school diploma or equivalent required; Associate degree in Business or Office Administration preferred.
• 1–3 years of clerical, administrative, or office experience.
• Proficiency with Microsoft Office (Word, Excel, Outlook) and basic computer systems.
• Proficiency with Quickbooks Desktop.
• Strong organizational and multitasking skills.
• Excellent verbal and written communication skills.
• Customer service–oriented with a professional demeanor.
• Ability to work independently and as part of a team.
• Experience in construction or concrete industry is a plus but not required.
