Payroll & Retirement Administrator
This role will be seated (in-person) in the Prairie Farms Corporate Offices in Edwardsville, Illinois.
General Purpose:
To work closely with the Payroll Manager and Sr. Payroll Supervisor to oversee and coordinate payroll and retirement plan administration responsibilities for approximately 8,500 employees across multiple locations and in various states.
Job Responsibilities:
• Crosstrain for coverage of processing of multiple weekly and twice monthly payroll runs into a third-party payroll system (ADP).
• Assist with and process the validation and input of new employees, payroll changes, garnishments, benefit deductions, and calculating commission.
• Communicate payroll information, processes, and procedures to plant and branch locations.
• Coordinate payments for union retirement/pension plans, company retirement plans, 401k plans, credit unions and other miscellaneous deductions.
• Audit and monitor compliance with company payroll policies, union contracts, and federal/state laws related to compensation and taxation.
• Assist with and perform payroll related reports and audits including quarterly tax reconciliation.
• Assist with accurate and on-time governmental reporting and compliance.
• Assist with the resolution of complex issues or errors.
• Coordinate employee retirement plan enrollments, eligibility tracking, contribution changes, loan requests, hardship withdrawals, and distributions in compliance with plan provisions.
• Reconcile payroll deductions and employer contributions for retirement plans and ensure timely and accurate funding to plan administrators and trustees.
• Partner with third-party administrators and retirement plan providers to resolve participant and plan-related issues.
• Assist with annual retirement plan compliance testing, census reporting, and year-end reconciliation activities.
• Monitor compliance with retirement plan regulations, company policies, union agreements, and applicable federal and state requirements.
• Analyze retirement plan data and identify discrepancies, trends, or opportunities for process improvement.
• Respond to employee inquiries regarding retirement benefits, deductions, contributions, vesting, and plan participation.
Required Technical Skills:
• Ability to proficiently operate computers with experience using Microsoft Suites (Outlook, Excel, Word, Access, and PowerPoint).
• Strong organizational skills and ability to maintain comprehensive records.
• Ability to identify issues and concerns as they arise and assist in developing plans for resolution.
• Experience with third-party payroll systems (ADP, preferred).

• Excellent verbal communication skills
• The ability to collaborate and engage with others outside of the department
• Ability to communicate effectively in writing and on the phone.
Educations, Certifications, and Experience:
• High School Diploma or equivalent
• Minimum three years of experience in a similar role
The following is preferred, but not required:
• Bachelor’s degree in a related field
• Experience working in a union environment preferred.
Physical Requirements:
(S)he will be required to sit and stand for long periods of time. (S)he will be required to stoop, bend, and reach above the head and below the knees to file and retrieve data.

The Payroll & Retirement Administrator is a salary position (non-exempt) and reports to the Payroll Manager.
