About the Role

The Commercial Escrow Assistant is responsible for opening and managing new escrow files, preparing settlement statements, reviewing title commitments, and gathering documentation required for commercial real estate transactions. This role serves as a key point of contact between lenders, brokers, attorneys, buyers, and sellers to coordinate title and escrow requirements throughout the closing process. Additionally, the position tracks earnest money deposits and transaction funds, balances funding with relevant parties, and processes monetary disbursements for commercial real estate transactions.

What You'll Do

File Setup & Title Review

  • Open new escrow files and input data
  • Read title commitments and process the requirements on title commitments
  • Prepare draft closing statements
  • Gather required legal documents
  • Prepare and organize documentation for real estate transactions

Funds & Disbursements

  • Track earnest money deposits and transaction funds
  • Balance funding and disburse transaction funds
  • Monitor and process funding disbursements for construction projects
  • Facilitate the closing of transactions as needed

Communication & Collaboration

  • Communicate with lenders, brokers, attorneys, buyers, and sellers for required title and escrow items
  • Answer basic questions about the closing process
  • Assist with other tasks/projects as needed
Requirements:

What You Bring

Required Qualifications

  • High school diploma or equivalent
  • Strong attention to detail and analytical skills
  • Excellent organizational and time-management abilities
  • Effective written and verbal communication skills
  • Ability to work independently and collaboratively within a team environment
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
  • Reliable transportation for daily deposits
  • Ability to successfully pass a background check

Additional preferred qualifications:

  • Associate or bachelor's degree in a related field
  • 5 years of related experience
  • Experience with loan documentation, construction draws, disbursements, or post-closing activities
  • Familiarity with lender portals and document management systems

Work Environment & Schedule

  • Full-time position
  • Monday-Friday schedule
  • Primarily office-based work with frequent computer use
  • Frequent use of computer, phone, scanner, and standard office equipment
  • Must be able to lift up to 15 pounds at times
  • Primarily sedentary work performed in an office setting
