Training Coordinator
Total Site Solutions (TSS), Georgetown, TX., seeks a detail-oriented Training Coordinator / Systems Trainer to support two distinct populations: the office and support organization and all NetSuite WMS system users across warehouse, receiving, and shipping functions. This role owns day-to-day administration of ADP Learning, manages training scheduling and completion records, and serves as the team's subject matter expert on WMS scanning interfaces and exception handling workflows.

Key Responsibilities
LMS Administration & Scheduling
- Administer the ADP Learning Management platform under the direction of the Training Manager: catalog maintenance, course assignments, completion tracking, reminder notifications, and compliance report generation
- Own training scheduling logistics across all populations: coordinate with department managers and shift supervisors to book training windows and ensure both production shifts are served without disrupting throughput
- Maintain the living SOP library: track review cycle due dates, flag outdated content for subject matter expert review, and manage version control
WMS & Systems Training
- Deliver and maintain the NetSuite WMS training curriculum for warehouse, receiving, and shipping staff — covering scanning interfaces, receiving workflows, inventory management, exception handling, and system navigation
- Serve as the real-time liaison with the NetSuite implementation team; attend working sessions, track interface changes, and update training materials before go-live events, not after
- Assist the Senior Technical Trainer with production floor training scheduling, materials distribution, and competency assessment record entry
Onboarding & Compliance Records
- Own new-hire onboarding coordination for office and support populations: schedule sessions, assign ADP Learning modules, track completion, and ensure each new hire receives a consistent, documented experience
- Produce training completion reports for SOX audit documentation; ensure records are audit-ready and accessible to internal and external auditors on request
- Coordinate the contract instructional designer's work during the initial curriculum build phase: schedule stakeholder interviews, manage content review cycles, and track deliverable status
- Support the Training Manager in developing and tracking the training metrics dashboard
Required Qualifications
- 2+ years of experience in training coordination, LMS administration, operations support, or a comparable role requiring strong organizational and documentation skills
- Proficient with a Learning Management System; ADP Workforce Now / ADP Learning Management experience strongly preferred
- Strong working knowledge of Microsoft Office 365 (Outlook, Excel, SharePoint) and ability to manage scheduling, records, and reporting with minimal supervision
- Excellent written communication skills; able to produce clear procedural documentation, email communications, and training materials
- Detail-oriented with a process-first mindset; comfortable managing multiple concurrent tasks and deadlines in a fast-paced manufacturing environment
- Ability to learn new software systems quickly and produce training materials from that experience
Preferred Qualifications
- Experience with NetSuite or comparable ERP/WMS systems; familiarity with barcode scanning interfaces or warehouse management workflows is a strong differentiator
- Prior experience in a manufacturing, warehouse, or technical services environment
- Experience supporting a systems implementation project — documenting new workflows, updating training materials, and coordinating user training during a go-live period
- Experience in a SOX-compliant environment where training records are audit artifacts
- Bilingual (English/Spanish) a significant plus given the cross-functional population this role serves
- Experience with content authoring tools (Articulate, Camtasia, Snagit, or comparable)
