Job Description
The Executive Administrative Assistant job family provides increasingly advanced administrative, operational, communication, and coordination support, with primary support focused on the Chief Operating Officer and secondary support provided to additional executive leaders reporting to the COO as appropriate. Positions in this family manage complex calendars, meetings, travel, expenses, communications, stakeholder coordination, and executive office priorities with a high degree of professionalism, discretion, judgment, and follow-through. As scope increases, the role expands from supporting defined executive administrative needs to independently anticipating priorities, coordinating cross-functional work, supporting strategic initiatives, and serving as a trusted liaison for the Chief Operating Officer and other assigned executive leaders.
Responsibilities
- Provide high-level administrative and operational support primarily to the Chief Operating Officer, with secondary support to additional executive leaders or executive priorities as appropriate.
- Serve as a liaison between the Chief Operating Officer, executive leadership, internal teams, external stakeholders, and key business partners to support alignment and execution of priorities.
- Independently coordinate leadership meetings, off-sites, engagement events, travel, vendor needs, facilities coordination, and related logistics.
- Track deliverables, action items, deadlines, and follow-up activities connected to Chief Operating Officer priorities, strategic initiatives, and cross-functional projects.
- Prepare, review, and refine executive-ready materials, including presentations, reports, agendas, communications, minutes, and decision support documents.
- Bachelor’s degree in business administration or related field, or equivalent experience.
- Minimum 6 to 10 years of executive administrative experience, preferably supporting senior leaders in a financial institution or similarly complex environment.
- Advanced ability to manage confidential information, competing priorities, and sensitive executive-level communications.
- Strong judgment, initiative, and ability to coordinate cross-functional work with limited direction.
- Intermediate to advanced Microsoft Word, Excel, SharePoint, Outlook, and PowerPoint skills.
- Demonstrated ability to create polished executive materials, coordinate complex meetings, and support organizational priorities.
Travel Requirement
This position requires travel to support business needs, including team collaboration, internal trainings, and cross-functional initiatives. The frequency and duration of travel will vary based on organizational priorities and team needs.

The base salary for this role is listed below. This pay range is posted to comply with wage transparency laws. The base salary may vary based on skill, ability, knowledge, experience, and geographic location. Full-time employees are also eligible for a competitive bonus and benefits package.
