This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Operations Associate/ Senior Operations Associate based in India.
This is a hands-on operations role supporting a growing team across recruitment, onboarding, travel, events, and administrative functions. You will keep multiple operational workstreams organized while ensuring a smooth experience for candidates, new hires, employees, vendors, and partners. The role combines coordination, logistics, documentation, and process improvement in a dynamic environment. You will work across teams and manage a diverse range of priorities, often requiring flexibility and sound judgment. As operations evolve, you will have the opportunity to build scalable systems, improve workflows, and strengthen day-to-day efficiency. The position is suited to someone highly organized, proactive, detail-oriented, and comfortable taking ownership in an evolving organization.
- Coordinate recruitment activities by scheduling interviews, managing candidate communications, and liaising with hiring managers to keep the recruitment process organized, responsive, and timely.
- Support onboarding for new hires by coordinating documentation, equipment and access setup, and providing general assistance throughout the onboarding process.
- Manage staff travel logistics, including bookings, itineraries, visas or permits, and on-the-ground arrangements for field and program-related travel.
- Support the planning and execution of workshops, donor meetings, offsites, and other events by coordinating venues, vendors, materials, and on-site logistics.
- Source and manage local vendors and service providers while ensuring contracts, agreements, and operational arrangements align with applicable local requirements.
- Oversee office and facilities needs as well as internal tools administration, including access management, licenses, subscriptions, and equipment.
- Maintain and improve operational systems and documentation, including trackers, checklists, logs, vendor agreements, and program files, to increase efficiency and scalability.
- Identify operational challenges, coordinate with the appropriate internal teams or advisors to resolve them, and contribute to continuous process improvements as local operations mature.
- Serve as a coordination point between candidates, new hires, consultants, partners, vendors, and cross-functional teams while handling confidential and sensitive information with appropriate discretion.
- Take on additional operational and administrative responsibilities as priorities evolve and contribute wherever needed to support effective program operations.
- Bachelor's degree, diploma, or equivalent professional experience, ideally in business administration, human resources, operations, or a related field.
- Proven experience in operations, HR-adjacent, administrative, coordination, or similar roles involving multiple stakeholders and competing priorities.
- Good working knowledge of administrative and operational practices in India, including familiarity with local vendor management, travel arrangements, contracts, visas or permits, and relevant regulatory or compliance considerations.
- Excellent organizational and time-management skills, with the ability to manage multiple tasks, deadlines, stakeholders, and operational details simultaneously without losing focus.
- A proactive, self-directed approach with the ability to shift priorities quickly, take initiative, solve problems independently, and operate effectively without extensive supervision.
- Strong written and verbal communication skills, with the confidence to coordinate professionally with candidates, employees, hiring managers, vendors, partners, and external service providers.
- Comfortable working with HR, operations, project management, scheduling, applicant tracking, and travel tools; familiarity with HRIS platforms such as BambooHR or similar systems is an advantage.
- Adaptable and resilient, with a willingness to take a hands-on approach across operational, administrative, logistical, and coordination activities in a fast-paced and evolving environment.
- Demonstrated ability to manage confidential HR, vendor, and program information with professionalism, sound judgment, and discretion.
- Proven ability to identify process improvements, streamline workflows, and create scalable operational systems such as trackers, checklists, documentation, and standardized processes.
- Full-time position with a fully remote working arrangement in India.
