The Opportunity

Plumb is looking for an experienced Client Accounting Supervisor to lead an onsite team responsible for the day-to-day financial administration of sophisticated private clients and families.

Think of this as running the accounting function behind a portfolio of complex private financial lives. Our clients may have multiple bank and credit card accounts, investment accounts, entities, properties, recurring expenses, vendors, household obligations, and financial reporting needs.

Your job is to make sure that work runs exceptionally well. You’ll lead the people performing the work, maintain visibility into what’s happening across client accounts, review accounting and reconciliation activity, oversee payment workflows, resolve problems, and make sure the team delivers accurate and responsive service.

This is a hands-on accounting leadership position. We’re looking for someone who likes understanding what is happening behind the numbers not simply reviewing work after the fact.

What You’ll Do

Lead the Team Behind the Work
Establish daily and weekly priorities, balance workloads, review work for accuracy and completeness, coach associates on accounting fundamentals and problem-solving, conduct performance conversations, train and onboard employees, and address quality or performance issues early.

Oversee Bill Pay & Cash Disbursements
Lead associates responsible for invoices and client expenses, checks, ACH and wires, approvals, deadlines, transaction documentation, and security controls. Identify unusual or duplicate payments and ensure complete transaction histories.

Manage Private Client Accounting
Supervise bank, credit card, brokerage, and investment reconciliations; transaction review; financial recordkeeping; month-end support; discrepancy resolution; financial-reporting support; and accounting activity across multiple accounts and entities.

Protect the Client Experience
Make sure questions involving payments, accounts, statements, documentation, and financial activity receive accurate and timely responses. Investigate issues, intervene when work falls behind, and address recurring problems at their source.

Build Better Financial Operations
Monitor productivity, turnaround times, reconciliation status, errors, outstanding items, and client requests. Look for opportunities to improve workflows, technology, controls, training, procedures, and staffing.

What Success Looks Like

Work is current. Reconciliations are accurate. Payments are processed securely and on time. Outstanding items are visible. Client questions don’t disappear into a queue. Associates understand their responsibilities. Problems are identified early. Employees receive meaningful coaching.

Most importantly, leadership understands what’s happening across the work without needing to chase down every detail.

What You’ll Bring
  • Approximately 4+ years of experience in accounting operations, client accounting, bookkeeping, accounts payable, financial operations, or related work
  • Previous employee supervision or management experience
  • Strong bank and credit-card reconciliation knowledge
  • Solid accounting fundamentals
  • Experience reviewing transactions and identifying discrepancies
  • Strong attention to detail and organizational skills
  • Ability to manage competing priorities and deadlines
  • Confidence coaching employees and holding people accountable
  • Strong communication and professional judgment
  • Comfort working with confidential financial information
  • Strong technology skills
  • Ability to work full-time onsite in La Jolla

Helpful experience: QuickBooks or comparable accounting platforms; client accounting services; CPA or professional-services firms; family-office accounting; wealth management/private banking; HNW client services; outsourced accounting; AP leadership; multi-entity accounting; or workflow/process improvement.

A bachelor’s degree in Accounting, Finance, Business, or a related field is preferred.

  • 4+ years of experience in accounting operations, bookkeeping, bill pay, financial operations, or a related field.
  • Prior experience supervising or managing employees.
  • Strong understanding of bank and credit card reconciliations.
  • Strong attention to detail and ability to review high volumes of financial information accurately.
  • Demonstrated ability to manage deadlines, workflows, and multiple competing priorities.
  • Strong written and verbal communication skills.
  • Sound judgment and ability to identify when an issue should be escalated.
  • Comfortable holding employees accountable for performance and deadlines.
  • High degree of professionalism, discretion, and confidentiality.
  • Strong technology skills and ability to learn new systems quickly.
  • Ability and willingness to work full-time, 100% onsite in our La Jolla office.

Preferred

  • Bachelor's degree in Accounting, Finance, Business, or a related field.
  • Experience supervising accounting associates, bookkeepers, AP specialists, or similar personnel.
  • Experience with QuickBooks or comparable accounting platforms.
  • Experience working with high-net-worth individuals, family offices, wealth management firms, professional services firms, or other demanding client-service environments.
  • Experience improving workflows, documenting procedures, and building operating processes.
  • Experience managing teams in a high-volume transaction-processing environment.

Detail-oriented without becoming a bottleneck. You know which items require careful investigation and which should simply be corrected, documented, and moved forward.

Client-focused. You understand that accuracy is essential, but so are responsiveness, communication, and follow-through.

Hands-on. You are willing to get into the details when necessary rather than managing exclusively through meetings and reports.

Accountable. You take ownership of the team's results rather than simply reporting that someone else did not complete something.
