Position Title: Manager, Operations, and Administration
Location: Chicago, IL (Hybrid)
Reports to: Director, Finance and Grants

Position Summary
The Manager, Operations, and Administration position manages and supports the day-to-day administrative and operational functions of Illinois EDC. Responsibilities include office administration, accounts payable processing, vendor coordination, facilities support, HR administration, contract administration support, and event logistics.
Core Responsibilities
- Office and Facilities Administration
- Manage office operations and facilities coordination.
- Coordinate office equipment, supplies, inventory, and workspace needs.
- Serve as liaison with building management and vendors and guests.
- Accounts Payable and Financial Administration
- Manage the accounts payable process, including processing invoices, coordinating approvals, and maintaining supporting documentation.
- Support routine financial administration, including expense reimbursements, reconciliations, invoicing, and preparation of documentation for monthly close and audit activities.
- Maintain financial records and administrative documentation to support grant and restricted funding administration, organizational compliance, and audit readiness.
- Human Resources Administration
- Coordinate recruiting logistics, onboarding and offboarding processes, employee records, and other HR administrative activities in coordination with the organization’s external HR provider.
- Oversee summer and school year internship program.
- Support benefits administration and performance review processes.
- Contract and Vendor Administration
- Coordinate administrative vendor relationships, including service requests, documentation, renewals, and routine vendor communication.
- Maintain contract files and databases.
- Coordinate signature routing and contract execution.
- Track insurance certificates and renewals.
- Administrative and Operational Support
- Provide operational support across departments.
- Other tasks as assigned.
Qualifications and Core Competencies
- Bachelor’s degree preferred.
- 4-6 years of progressive experience in office administration, operations, finance, human resources, or nonprofit administration.
- Strong proficiency with Microsoft Excel, including the ability to organize, analyze, reconcile, and maintain financial and operational data using spreadsheets.
- Experience with QuickBooks preferred.
- Strong organizational and project management skills, with demonstrated ability to manage multiple processes, deadlines, and competing priorities with limited supervision.
- Strong attention to detail and demonstrated ability to maintain accurate financial, contractual, personnel, and administrative records.
- Sound judgment and discretion in handling confidential financial, personnel, and organizational information.
- Strong written and verbal communication skills, with the ability to work effectively with staff, vendors, external partners, and senior leadership.
- Demonstrated ability to develop, document, and consistently execute administrative processes and procedures.
- Strong critical thinking skills and ability to identify issues, resolve routine operational matters independently, and appropriately escalate more complex matters.
- Ability to work collaboratively across departments in a fast-paced, evolving organization.
Work Environment and Compensation
This position requires regular in-office presence to support facilities, vendors, staff, and other operation needs. Illinois EDC currently requires at least three days in office.
Salary range: $65,000-$80,000, commensurate with experience.
