About This Position
Position Highlights:
The Supervisor Release of Information plans, controls the day-to-day operations of the Release of Information (ROI) team. Provides subject matter expertise and is a resource for the release of medical records and radiology imaging policies and procedures to ensure the release of information is in compliance with all federal, state, and regulatory agencies. Works closely and collaborates with other stakeholders in the Center to accurately fulfill requests and audits. These requests can include, but are not limited to, continuity and quality of care, various audit types, legal, compliance, and medical examiner requests.
This position performs the quality review and accuracy of releasing medical record requests. Responsible for continuously evaluating the quality of the Release of Information area workflow to improve monthly departmental metrics.
Responsibilities:
- Supervision
- Oversees the selection of staff with qualifications and experience to perform an assigned job.
- Facilitates orientation and training and development acting as the subject matter expert and mentor to Release of Information staff to ensure high levels of performance, quality and efficiency.
- Assures all team members are trained in HIPAA Privacy and security, payroll, phone queue system and scheduling.
- Oversees the scheduling of department staff at all HIM ROI locations.
- Maintains strict turnaround times to comply with federal laws.
- Schedules and oversees outside vendors for internal audits.
- Provides oversight and ensures all staff, including remote team members, are meeting daily production.
- Maintains weekly payroll, posts weekly payments into Access HIM, processes checks to the business office on a bi-weekly basis, and manages daily workload including phone queue to accommodate staffing needs.
- Compiles weekly status reports to Manager.
- Release of Information
- Monitors and maintains turn-around times for release of information to ensure legal compliance with state and federal mandates governing the release of information time frames.
- Monitors ROI team members to ensure the highest level of customer service in accordance with AIDET and the Moffitt PROMISE.
- Oversees the distribution of the mail for medical records.
- Supports HIM Operations Integrity Manager.
- Maintains relationships with Moffitt Cancer Center Departments; Corporate Compliance, Risk Management, Legal, and all other Moffitt staff that has a close relationship with the department.
- Maintains departmental monthly metrics.
- System Support
- Interacts with systems support staff to troubleshoot and resolve technical problems related to HIM operations systems.
- Radiology Imaging (PACS)
- Radiology Imaging (PACS) • Oversees the release of radiology images at multiple Moffitt locations.
- Maintains supply inventory to accommodate the needs of all satellite locations to ensure supplies also encompass the PACS system.
- Quality Assurance • Complete quality reviews for each ROI team member in accordance with Revenue.

Minimum Education and Experience Required:
- Bachelors degree and two (2) years of Health Information Management, inclusive of two (2) years leadership/project lead or Supervisor experience.

- Associates degree and four (4) years of Health Information Management, inclusive of two (2) years leadership/project lead or Supervisor experience.
- OR
- High School Diploma/GED and six (6) years of Health Information Management, inclusive of two (2) years leadership/project lead or Supervisor experience.
Minimum Skills/Specialized Training Required
- Advanced knowledge of medical terminology, electronic health record systems, Adobe Pro and Microsoft Office.
Preferred Experience
- Knowledge and familiarity of all applicable laws and regulations that may include Health Information Portability and Account Act (HIPAA)-Federal, HITECH Act, Freedom of Information Act, Code for Federal Regulations (CFR), Cures Act.
- Experience in Cerner electronic health record software.
Preferred Skills/Specialized Training
- Strong ability to decipher types of record requests to determine the cause for the request, level of importance/urgency, and what documentation is sufficient enough to fulfill the request.
