About This Position
The Spec Coordinator is responsible for maintaining the accuracy and integrity of product data— including item masters, bills of materials (BOMs), and specifications—within the company’s ERP system (Epicor). This role also provides administrative, customer service, inventory, and job related support for the Building Materials business segment (approx. 25% of role).
This position acts as a critical link between project management, operations, procurement, planning, and customer service functions, ensuring accurate data flow, smooth production support, and exceptional service to internal and external stakeholders. The ideal candidate is detail-oriented, organized, and experienced in manufacturing environments and ERP systems.
Key Responsibilities
Product Data Management (Primary Responsibility – 75%)
Item Master & BOM Management
• Create and maintain item numbers, product codes, and part records in Epicor according to established naming conventions and data governance standards.
• Build, update, and validate bills of materials (BOMs) to accurately reflect components, assemblies, and product structures.
• Interpret engineering drawings, technical specifications, and change-orders to accurately translate requirements into ERP records.
• Coordinate and process engineering changes, ensuring timely updates to BOMs, item masters, and related data.
• Audit Epicor data for accuracy, completeness, and consistency; research and resolve discrepancies.
• Maintain and enforce data entry standards to support data integrity across the product lifecycle.
Cross Functional Collaboration
• Work with project management, product development, and operations teams to gather and verify specification data.
• Support procurement and planning teams by ensuring sourcing data, lead times, and units of measure remain accurate.
• Support new product introductions (NPI) by preparing item and BOM structures in advance of production launch.
Reporting & Training
• Generate and distribute reports on BOM status, item completeness, and open change requests.
• Provide guidance and training to team members on Epicor data entry and BOM best practices.

Building Materials Segment Coordinator (25% of Role)
Customer Service Support
• Review and process customer orders into Epicor.
• Maintain order processing capability by reviewing orders at least half of one day each week.
• Serve as backup coverage for the primary Customer Service Representative during vacation or personal time.
• Assist with special projects as assigned by Operations or the Director of Building Materials.
Inventory Management
• Perform daily production check ins for Building Materials (Room 1).
• Verify and mark pallets of finished goods, complete Epicor transfers to the fulfillment warehouse.
• Distribute and file production and transfer paperwork.
• Conduct regular inventory cycle counts of Room 1 finished goods and reconcile discrepancies.
• Support monthly invoicing by reviewing and calculating line item totals for billing.
Job Creation & Production Support
• Work with Operations to create jobs in Epicor.
• Backflush finished good inventory as jobs are completed.
Qualifications
Education & Experience
• Bachelor's degree in Engineering, Manufacturing Technology, Supply Chain, or a related field; or equivalent combination of education and experience.
• 3–5 years of experience in a manufacturing environment in a role involving ERP data management, product data management, or similar functions.
• Hands-on experience creating and maintaining BOMs and item masters in an ERP system (Epicor, SAP, Oracle, Microsoft Dynamics, or similar).
Skills & Competencies
• Strong proficiency with ERP systems and product data management tools.
• Ability to read and interpret engineering drawings, schematics, and technical specifications.
• High attention to detail with a strong commitment to data accuracy and integrity.
• Solid understanding of manufacturing processes, product structures, and supply chain fundamentals.
• Proficient in Microsoft Office Suite, particularly Excel (pivot tables, VLOOKUP, data validation).
• Strong organizational and time management skills with the ability to manage multiple priorities simultaneously.
• Effective written and verbal communication skills with the ability to work cross-functionally.
Supervisory Responsibility
• This position may supervise a temporarily assigned team but will not be responsible for time keeping with regards to payroll.
Work Environment
• Primarily office-based with occasional time on the manufacturing floor to review product structures and collaborate with production teams.
• Standard full-time hours; occasional overtime may be required during product launches or peak change periods.
Physical Demands
• Ability to lift up to 50 lbs and stand/walk for extended periods.
• Frequent bending, reaching, and handling of materials.
• Ability to operate warehouse equipment (forklifts, pallet jacks, etc.) safely.
• Adherence to PPE requirements
Position Type and Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, normal business hours.
