Position Summary
We are seeking a highly skilled Payroll Specialist with deep, hands-on expertise in ADP WorkforceNow and a strong accounting foundation. The successful candidate will be responsible for end-to-end payroll processing, ensuring compliance with all applicable federal and provincial regulations, and supporting the Chief Accountant with payroll-related and other accounting activities, including journal entries and reconciliations. This role requires exceptional attention to detail, sound analytical judgment, and the ability to perform effectively in a fast-paced, deadline-driven environment.
Responsibilities
Payroll Administration
- Process full-cycle payroll for salaried and hourly employees using ADP WorkforceNow.
- Maintain accurate and up-to-date employee payroll records, including onboarding, terminations, compensation changes, and benefits updates.
- Ensure payroll accuracy and timely processing in accordance with federal and provincial legislation.
- Administer statutory remittances, year-end activities (including T4 and RL-1 preparation), and payroll tax reconciliations.
- Respond to employee payroll inquiries with professionalism and in a timely manner.
Accounting and Journal Entry Support
- Prepare and post payroll-related journal entries accurately and on schedule.
- Reconcile payroll-related general ledger accounts and investigate discrepancies.
- Assist the Comptroller with monthly, quarterly, and year-end financial close activities related to payroll
- Assist with monthly, quarterly and year-end, financial journal entries and account and bank reconciliations.
- Support internal and external audits by providing payroll documentation and explanations as required.
- Ensure compliance with employment standards, tax legislation, and regulatory requirements across federal and provincial jurisdictions.
- Maintain strong internal controls and contribute to the continuous improvement of payroll processes.
- Prepare, analyze, and distribute payroll reports for Human Resources, Finance, and Management.
Requirements
- National Payroll Institute designation (PCP or CPM) is required.
- Extensive hands-on experience with ADP WorkforceNow, including configuration, processing, and reporting.
- Three to five or more years of progressive payroll experience, preferably in a multi-jurisdictional environment.
- Strong accounting background with demonstrated experience preparing journal entries and performing account reconciliations.
- In-depth knowledge of Canadian payroll legislation at both the federal and provincial levels.
- Fluently bilingual in English and French, both written and spoken.
- Advanced proficiency in Microsoft Excel and comfort working with financial and payroll systems.
- Demonstrated attention to detail, discretion with confidential information, and strong analytical problem-solving skills.
