About This Position

Reports to Manager, Coding & Records. Functions as Team Leader coordinating work of associates who process patient health information. Maintains monthly scheduling of employees to ensure appropriate coverage of department. Assists with daily priorities as needed to maintain productivity. Handles employee, physician and other staff conflicts and complaints.

Productivity

  • Maintains monthly scheduling of employees to ensure appropriate coverage of department.
  • Assists with daily priorities as needed to maintain productivity.
  • Monitors work flow and assign duties as appropriate.
  • Assists with developing & updating department and area policies & procedures.
  • Keeps current with assigned queues.
  • Maintains chart turnaround times according to department goals.
  • Checks time cards for accuracy.
  • Reports any benchmarks to manager.

Competency

  • Interviews and makes recommendations on hiring staff.
  • Responsible for training of new employees.
  • Documents competency assessment of employees at 6 weeks and at 12 weeks.
  • Conducts employee reviews and gives feedback on quality and productivity quarterly.
  • Monitors unlinked deficiencies and group work queues in the electronic storage system, following up as needed on issues daily.
  • Assists Manager/Director with meeting department goals and objectives.
  • Compiles chart turnaround and analysis data, checks timecards for accuracy, and records benchmarks when appropriate.
  • Maintains quality/training and resource manuals.
  • Seeks training opportunities to maintain skills and knowledge.
  • Maintains all scanning equipment.

Teamwork

  • Fills in and works for absent employees as needed.
  • Maintains trust and support with all other team leaders.
  • Provides communication to all employees regarding departmental issues/procedural changes, etc.
  • Participates in after hour and weekend management on-call coverage.
  • Attends and actively participates in monthly department meetings as scheduled.
  • Conducts processing/analysis meetings and provides education as needed.
  • Assists teleworkers/in-house staff with equipment problems.
  • Assists and supports staff with HIM software and applications.
  • Allows for training opportunities for staff.

Customer Service

  • Contacts appropriate vendors for service.
  • Responds to physician questions and concerns immediately and reports issues to Manager/Director.
  • Handles employee, physician and other staff conflicts and complaints on a first-line basis and reports to Manager/Director.

Contribute to the overall effectiveness of the department

  • Completes other job-related duties and projects as assigned.
ORGANIZATIONAL RESPONSIBILITIES

Associate complies with the following organizational requirements:

  • Attends and participates in department meetings and is accountable for all information shared.
  • Completes mandatory education, annual competencies and department specific education within established timeframes.
  • Completes annual employee health requirements within established timeframes.
  • Maintains license/certification, registration in good standing throughout fiscal year.
  • Direct patient care providers are required to maintain current BCLS (CPR) and other certifications as required by position/department.
  • Consistently utilizes appropriate universal precautions, protective equipment, and ergonomic techniques to protect patient and self.
  • Adheres to regulatory agency requirements, survey process and compliance.
  • Complies with established organization and department policies.
  • Available to work overtime in addition to working additional or other shifts and schedules when required.

Education and Experience

  • The knowledge, skills, and abilities as indicated below are normally acquired through the successful completion of a High School Diploma or equivalent. No previous experience is required. Prefer up to one year experience in medical office training.

  • Excellent communication skills, both written and verbal.

Working Conditions

  • Works in a hospital office and patient care environment.

Physical Demands

  • May be required to lift records up to 25 pounds.
  • Bending, stooping, and filing overhead.
