The Culture Department is seeking a highly organized and community-minded Administrative Assistant to support the day-to-day operations of cultural programming and initiatives.
The Administrative Assistant plays an important role in supporting cultural activities, events, and ceremonies while providing administrative support to the Culture Department team. This position works closely with community members, Elders, Knowledge Keepers, youth, and visitors in a respectful and welcoming manner.
The successful candidate will contribute to the coordination and delivery of cultural programs while ensuring administrative processes are efficient, organized, and culturally respectful.
Key Responsibilities📋 Administrative Support
Provide administrative and clerical support to the Culture Department.
Answer phone calls, emails, and general inquiries professionally.
Prepare and edit documents including reports, correspondence, newsletters, and promotional materials.
Maintain organized electronic and paper filing systems.
📅 Program and Event Coordination
Assist in coordinating cultural programs, workshops, ceremonies, and community events.
Schedule meetings, events, and facility bookings.
Assist with meeting preparation including agendas, minutes, and follow-ups.
Support the Cultural Committee by recording and maintaining meeting minutes.
📣 Communications
Develop and distribute promotional materials such as flyers, posters, and community notices.
Assist with social media and communications promoting cultural programming.
📊 Records and Reporting
Maintain tracking systems for program participation and reporting requirements.
Assist with grant reporting and program evaluations.
Maintain and back up electronic records while ensuring confidentiality.
📦 Operational Support
Assist with inventory tracking and ordering cultural supplies and materials.
Support logistics for meetings, workshops, and community events.
Participate in staff meetings, planning sessions, and community engagement activities.
Diploma in Office Administration, Administrative Assistant, or a related program from a recognized institution.
Minimum two (2) years of related administrative experience preferred.
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
Strong organizational and time management skills.
Excellent written and verbal communication skills.
Ability to work independently and collaboratively within a team environment.
Assets
Experience working in a First Nation community.
Experience supporting cultural programming or community events.
Knowledge of community engagement practices.
Ojibway language skills and cultural knowledge.
Valid Driver’s License and reliable vehicle.
Willingness to work flexible hours including evenings and weekends during cultural events.
Must be able to obtain or hold:
First Aid and CPR Certification
Food Handler’s Certificate
Must provide a Criminal Record Check (CPIC) with Vulnerable Sector Screening (valid within 6 months).
Must sign and maintain an annual oath of confidentiality.
This position works primarily in an office environment but will also support community events, ceremonies, and cultural gatherings. Occasional travel within the community and event setup support may be required.
The role requires strong attention to detail, the ability to multitask, and respectful engagement with community members and leadership.
Probation PeriodThe successful candidate will be subject to a six (6) month probationary period.
