About This Position

OVERVIEW (POSITION PURPOSE)

The Corporate Quality Systems Coordinator supports the Food Safety Quality Assurance team by maintaining quality information systems, organizing documentation, and assisting with reporting and compliance activities. This role ensures that products, services, and records meet company standards by accurately managing data, maintaining files, and supporting audit and reporting processes. The position is responsible for logging, organizing, and verifying quality data, assisting with non-conformance documentation, and communicating with suppliers for approval documentation and review.

RESPONSIBILITIES AND RESULTS

• Maintains working knowledge of Peterson Farms’ Family of Companies policies and procedures.

• Assists in the maintenance of the Supplier Approval Program and onboarding including, but not limited to, collection, review, and verification of supplier documentation. Ensures compliance with FDA, FSMA, or other regulatory requirements.

• Ensures that all external vendors meet company, regulatory, and quality standards before, during, and after onboarding.

• Assists in the maintenance of the Approved Supplier List.

• Conducts audit of documents provided by vendors, manages documentation, and mitigates risk in the supply chain.

• Maintains comprehension of product specifications to process and approve suppliers and products.

• Supports the receipt and organization of supplier documents, reviewing for accuracy and ensuring documentation is compliant to company requirements.

• Assists with completing tasks within supplier approval portals, including uploading documents and ensuring assigned tasks are completed in a timely manner to meet customer and internal Quality Assurance requirements.

• Partner with the Procurement Department to resolve supplier-related issues, deviations, and product impact assessments.

• Maintains general and confidential files with a high level of accuracy and attention to detail.

• Performs general administrative duties such as filing, scanning, and document preparation to support Food Safety Quality Assurance operations.

• Maintain document control program (Qualtrax) ensuring facility and corporate level documents are up-to-date and reviewed in a timely manner.

• Assists with research and documentation of quality procedures in compliance with applicable quality and food safety standards.

• Assists with the preparation of audits as needed.

• Other duties as required to ensure policy enforcement and product quality.

QUALIFICATIONS

Education

• High school diploma or equivalent preferred.

Work Experience

• Six months’ experience in administrative role, utilizing communication skills required.

• Previous Quality Control/Quality Assurance experience preferred.

Skills and Knowledge

• Proficient using PC, via keyboard/mouse, and various software applications (i.e., Microsoft Office Suite and Parity).

• Working knowledge of HACCP preferred.

• Demonstrated ability to maintain integrity and privacy of confidential information.

• Demonstrates effective interpersonal and communication skills.

• Ability to work well under pressure and quickly assess and respond appropriately to questions.

• Ability to adapt to change and learn quickly.

• Good organizational skills and the ability to multi-task.

• Excellent attention to detail – high accuracy in document review and data management.

• Excellent communication skills.

• Works independently while maintaining flexibility and a cooperative attitude.

• Prioritizes tasks and ensures timely completion of assignments

• Ability to comprehend and comply with GMP rules and Food Safety guidelines.
