We’re seeking a Systems & AI Integration Manager to lead the management and optimization of our expanding software stack and to help drive the rollout of internal AI tools that enhance efficiency, accuracy, and team productivity.

Position Overview
We are seeking an experienced and forward-thinking Systems & AI Administrator to join our growing technology team. This role sits at the intersection of enterprise systems management and artificial intelligence, responsible for designing, implementing, and optimizing integrations across our property management technology ecosystem. The ideal candidate brings deep hands-on knowledge of platforms such as Yardi, ADP, Entrata, QuickBooks, AppFolio, Gearco, NetVendor, and other property management and HR systems — while also possessing the expertise to layer AI-driven automation, data pipelines, and intelligent workflows on top of these platforms.
Position Responsibilities:
Systems Integration & Administration
- Architect, develop, and maintain integrations between core business platforms including Yardi Voyager/Breeze, ADP Workforce Now, Entrata, QuickBooks, AppFolio, NetVendor, Gearco, and ancillary property management tools.
- Serve as the subject matter expert (SME) for system configuration, data mapping, and API/middleware connectivity across all integrated platforms.
- Design and manage ETL (Extract, Transform, Load) pipelines to ensure accurate, real-time data flow between systems.
- Troubleshoot and resolve integration failures, data discrepancies, and system conflicts in a timely manner.
- Maintain detailed documentation of all system architectures, integration flows, data dictionaries, and configuration settings.
- Evaluate and onboard new software platforms, ensuring seamless integration with the existing technology stack.
AI & Automation Development
- Identify opportunities to implement AI and machine learning solutions that automate repetitive workflows, enhance reporting, and improve operational decision-making.
- Build and deploy AI-powered tools such as intelligent document processing, predictive maintenance alerts, automated lease abstraction, and resident communication bots.
- Develop and maintain RPA (Robotic Process Automation) workflows to streamline data entry, accounts payable/receivable, and compliance reporting across Yardi, ADP, and related systems.
- Collaborate with data analysts to build dashboards and AI-enhanced reporting pipelines using tools such as Power BI, Tableau, or custom solutions.
- Evaluate and integrate large language model (LLM) APIs and AI platforms (e.g., OpenAI, Azure AI, Google Vertex AI) into internal business processes.
Collaboration & Stakeholder Engagement
- Partner with Property Management, Accounting, HR, and Leasing teams to understand operational pain points and translate business requirements into technical solutions.
- Lead cross-functional workshops and discovery sessions to document system workflows and integration requirements.
- Provide training and technical support to end users on integrated systems and AI-assisted tools.
- Act as a liaison between software vendors and internal teams during implementations, upgrades, and escalations.
Security, Compliance & Governance
- Ensure all system integrations adhere to data privacy regulations (e.g., CCPA, GDPR) and internal security policies.
- Implement role-based access controls (RBAC) and audit logging across integrated platforms.
- Conduct regular system health checks, integration audits, and disaster recovery testing.
Required Experience:
- 4+ years of experience in IT systems administration, SaaS management, or business systems analysis.
- Hands-on experience with multiple business applications (Entrada, QuickBooks, ADP, Office 365, Domo, etc.).
- Familiarity with APIs, workflow automation tools (Zapier, Make, Power Automate), and light scripting (Python or PowerShell) preferred.
- Exposure to AI environments or machine-learning tools (e.g., OpenAI, Ollama, vLLM, NVIDIA AI Workbench) a strong plus.
- Strong analytical and problem-solving skills with a focus on process improvement.
- Excellent communication and documentation abilities; comfortable coordinating across departments.
