Dodds Wealth is seeking an Operations & Client Service Associate to support our mission of delivering thoughtful, proactive wealth management and an exceptional client experience.
This role exists to ensure daily operational processes are executed accurately and consistently, while proactively identifying opportunities to improve workflows and strengthen the client experience. The Operations Associate is responsible for supporting account administration, operational workflows, and internal systems, and works closely with advisors and the operations team to promote operational efficiency, problem resolution, and continuous improvement.
This position is ideal for an individual who is detail-driven, solutions-oriented, and energized by solving problems before they escalate. The right candidate takes initiative, anticipates needs, and contributes positively to a high-performing, team-based environment.
Key Responsibilities
Operations & Client Service Support
- Support daily operational activities including account opening, account maintenance, money movement, and documentation processing.
- Assist advisors and client service team members in preparing client materials and ensuring timely follow-up on requests.
- Proactively identify and resolve operational issues to minimize delays or client impact.
- Help ensure trading support tasks and reporting activities are completed accurately and on schedule.
- Maintain accurate client records and documentation across firm systems.
- Provide backup support across operational functions to ensure continuity of service.
Process & Workflow Coordination
- Execute new account onboarding by preparing, submitting, and tracking custodial paperwork through completion.
- Coordinate custodial follow-ups and communicate with clients to ensure timely account setup and maintenance.
- Process client service requests including transfers, money movement (ACH, wires, checks, distributions), and account updates.
- Maintain accurate client data, tasks, and workflows within the CRM.
- Partner with the operations team to strengthen service delivery and resolve issues efficiently.
- Document and refine Standard Operating Procedures (SOPs) to support consistency and scalability.
- Collaborate with team members to troubleshoot challenges, promote cross-training and improve overall operational effectiveness.
Technology & Systems Support
- Utilize the firm’s CRM, custodial platforms, reporting tools, and workflow systems to complete daily responsibilities.
- Perform data entry, reconciliation, and quality control efforts to maintain system accuracy.
- Troubleshoot basic system or process issues and coordinate resolution when needed.
- Demonstrate openness to learning new tools and leveraging technology — including AI-enabled solutions — to improve efficiency, accuracy, and team productivity.
Qualifications & Skills
Education & Experience
- Bachelor’s degree in Business, Finance, or related field preferred.
- 1–3 years of experience in financial services, banking, operations, or client service (or equivalent professional experience).

Technical & Software Experience
- Strong Excel skills required, including comfort with formulas, data organization, and basic analysis.

- Comfort learning and using CRM systems and financial platforms.
- Interest in leveraging technology — including emerging AI tools — to enhance workflow efficiency and accuracy.
- Prior experience with financial services systems is a plus but not required.
Compensation & Benefits
- Salary disclosure: annual salary of $55,000- $75,000. Final offer amount is determined by factors including years and depth of candidate’s experience, certifications and skill set alignment to the job requirements.
