About This Position
Position Description: The Customer Service Manager operates in a co-management structure sharing responsibility for the daily supervision and execution of customer service operations across multiple locations. This role ensures accurate order entry, effective coordination with dispatch, and consistent, high-quality service delivery to customers.

Core Responsibilities
Team Supervision & Daily Execution
Supervise day-to-day activities of customer service team members across locations
Provide real-time guidance, coaching, and support to ensure service standards are met
Monitor workload and adjust team priorities to meet business demands
Maintain team schedules to ensure proper coverage
Customer Interaction & Issue Resolution
Support team in handling customer calls, orders, and inquiries with accuracy and professionalism
Act as escalation point for customer complaints, delivery issues, and billing concerns
Ensure customer issues are resolved promptly and followed through to completion
Maintain a strong focus on responsiveness and service consistency
Order Management & Operational Coordination
Oversee accurate entry and maintenance of customer orders
Work closely with dispatch and operations to align customer needs with delivery schedules
Ensure timely communication of delivery updates, delays, or service issues
Assist in managing urgent requests, including out-of-gas and emergency situations
Performance Monitoring
Track and manage key service metrics, including call handling and response times, order accuracy, and issue resolution timelines
Order accuracy
Issue resolution timelines
Address performance gaps and reinforce accountability within the team
Process & Systems Use
Ensure consistent use of CRM and order management systems
Maintain accurate customer records and documentation of interactions
Follow established customer service procedures and workflows
Administrative Responsibilities
Prepare team schedules and manage time-off requests
Review and approve timecards
Support hiring, onboarding, and training of new team members
Review and approve expense reports
Collaborate and complete employee 90 day and annual reviews
Safety & Compliance
Follow and reinforce company safety policies in all customer interactions
Ensure proper escalation of safety-related concerns (e.g., leaks, service hazards)
Adhere to company policies, procedures, and regulatory requirements
Qualifications / Experience / Education:
3+ years of experience in a customer service or dispatch/support supervisory role
Experience in distribution, logistics, fuel, or propane operations preferred
Strong organizational and problem-solving skills
Ability to manage multiple priorities in a fast-paced environment
Proficiency in Microsoft Office and customer management systems
High School Diploma required; bachelors degree preferred
