PSA Team Members are client-facing professionals, who play a key role in representing a practice within the community. PSA members are responsible for greeting and checking in patients, executing appointments and re-schedules, patient customer service and maintaining the front desk. The main bulk of the duty is to answer telephone calls promptly, efficiently and with care. Our motto is to “do everything with the utmost customer service” in mind.

MAJOR DUTIES AND RESPONSIBLILITIES

FRONT DESK / CALL CENTER

  • Greet patients professionally, both in person and over the phone
  • Ensures patient service excels expectations
  • Knowledge of Obstetrical and Gynecological appointment protocol.
  • Answers incoming phone calls promptly and provides triage concerns efficiently
  • Collects copayments and past due balances at time of phone call and when checking in patients.
  • Handles scheduling and rescheduling appointments; calls no shows bumped appts, and cancellations; modifies schedules for clinicians as needed.
  • Checks messages daily and return phone calls within same business day.
  • Provides extensive data entries.
  • Updates insurance information at time of appointment scheduling and at time of patient check-in.
  • Reconcile batches for all payments collected daily.
  • Patient Portal: Communicate with patients, schedule appointments online, responds to emails.
  • Scanning: scans insurance cards, consents and other patient paperwork.
  • Attend monthly departmental meetings.
  • Checks insurance eligibility in software – follows up as needed
  • Liaise with MA Department to provide patient access to care
  • Comforting patients by anticipating anxieties and effectively answering questions. Provide liaison support when applicable.

MINOR DUTIES AND RESPONSIBILIITES

Sit with new hires, getting them acquainted to CureMD, setting preferences within software, how to work phones, intercom feature, checking voice messages, office layout, etc.

Occasional sorting through daily mail

Sort through returned mail

Post payments sent through USPS

Handles front office technical and maintenance issues.

Weekly rotation of community area maintenance: laundry, kitchen, storage and personal spaces.

Requirements:

Education:

High School Diploma

Some College Recommended

Experience:

High level of front office support and administrative skills. Must communicate effectively,

professionally, patiently, and kindly with patients, physicians, and staff. Knowledge of basic medical terminology and office fundamentals are needed to complete tasks.

Computer Skills:

Intermediate to advanced computer skills: data entry, word processing, MS Office, CureMD, Excel, Google Suite and Docusign a plus.

Language Skills:

Must be able to speak and write proper grammatical English, Bi-lingual a plus

Time Management/ Organizational Skills:

Must be highly organized and can effectively prioritize and manage time

Problem Solving:

Ability to resolve issues with a positive and decisive manner. Must be able to communicate effectively and work as a team player with other staff.

Physical Requirements:

Multi-limb and eye-hand coordination

Able to bend, stoop and lift boxes up to 20 lbs.

Fast pace / multi-tasking with organization and efficiency

Able to sit at a desk, working on computers and phones for part of the work day

Able to stand on feet for approximately 30% of the day
