The company provides 24/7 emergency response services and supports residential, commercial, municipal, and insurance-related projects across Southern California.
Position Summary
The Office Manager is responsible for overseeing daily administrative operations to ensure efficiency, compliance, and exceptional client service. This role is critical in supporting field operations, coordinating emergency response workflows, managing office staff, and maintaining accurate documentation related to restoration, environmental, and insurance-based projects.
Key Responsibilities
Office & Administrative Management
• Oversee daily office operations, ensuring efficient workflows and organization
• Supervise administrative / claim coordinator staff, including scheduling, training, and performance management
• Maintain office systems, filing structures, and documentation standards
• Manage office supplies, vendor relationships, and facility needs
Project & Operations Support
• Coordinate communication between claims management, field staff and clients
• Track project timelines, job status, and completion milestones
• Ensure proper documentation for restoration, abatement, and construction projects
Client & Insurance Coordination
• Serve as a primary point of contact for clients, vendors, and insurance representatives
• Support insurance claims documentation, invoicing, and follow-up
• Ensure accurate job files, including estimates, reports, and compliance records
• Maintain high levels of customer service during high-stress restoration situations
Financial & Reporting Duties
• Prepare reports on office performance, and operational metrics
• Monitor budgets and assist leadership with financial tracking
Compliance & Industry Standards
• Ensure adherence to environmental, safety, and regulatory requirements
• Support audits and inspections related to environmental and construction services
Team Support
• Act as liaison with HR Director to support onsite onboarding and document distribution
• Help maintain a positive, accountable, and team-oriented culture
Qualifications
Required:
• 3–5+ years of office management or administrative leadership experience
• Experience in construction, restoration, environmental services, or similar industry preferred
• Strong organizational, multitasking, and problem-solving skills
• Proficiency in Microsoft Office (Excel, Word, Outlook) and scheduling systems
• Excellent communication and customer service skills
Preferred:
• Experience with insurance claims processing or restoration software (e.g., Xactimate)
• Knowledge of environmental regulations (mold, asbestos, hazardous materials)
