Description: About the Role

As DC Operations Coordinator, you are the independent set of eyes that ensures everything happening on the warehouse floor is captured accurately, completely, and on time in our systems. This is not a floor role — it is an office-based oversight and verification role. You work behind the scenes to validate that the activities executed by the warehouse team (receiving, putaway, transfers, picking, shipping) are properly recorded, fully closed out, and reflected accurately in inventory.

You partner closely with the Warehouse Manager and Supervisors, holding daily operations accountable to data accuracy, system hygiene, and process compliance. Your work is what makes the difference between a distribution center that looks busy and one that actually performs — ensuring inventory is trustworthy, transactions are clean, and leadership has reliable numbers to act on.

This role is ideal for someone with a sharp eye for detail, an audit mindset, and the confidence to professionally challenge discrepancies until they are resolved.

Key Responsibilities

Inventory Accuracy & System Integrity

• Ensure inventory in the WMS/ERP matches physical reality at all times — quantity, location, and status

• Monitor daily that there are no open transfers, open receipts, pending put-aways, or unshipped orders left unresolved at end of day

• Verify that every receiving, putaway, transfer, pick, and shipping transaction is properly closed in the system before close of business

• Lead and oversee cycle counts, reconciliations, and physical inventor events; investigate and resolve all variances

• Identify root causes of inventory discrepancies and drive corrective actions with the warehouse team

Operations Oversight & Audit

• Provide independent verification that daily warehouse activity is being executed and recorded according to company standards

• Audit Warehouse Manager and Supervisor reported metrics against system data; flag discrepancies and follow them through to resolution

• Review daily, weekly, and monthly transaction logs to surface missed steps, broken processes, or compliance gaps

• Hold daily / weekly review checkpoints with warehouse leadership to confirm all transactions are reconciled and closed

• Escalate unresolved operational or accuracy issues to senior leadership with clear data and recommended next steps

Documentation & Reporting

• Review and validate all inbound and outbound shipping documentation — receiving reports, delivery notes, bills of lading, packing lists, and invoices

• Prepare and distribute daily, weekly, and monthly reports on inventory accuracy, open transactions, and operational KPIs

• Track and analyze key metrics such as inventory variance, order accuracy, on-time shipping, dock-to-stock time, and aging open transactions

• Maintain organized digital and physical documentation for full traceability and audit readiness

Coordination & Communication

• Serve as the data and operations liaison between the warehouse, customer service, sales, and senior leadership

• Coordinate with suppliers, carriers, and 3PL partners to confirm scheduled inbound and outbound activity is properly received and processed

• Respond to internal and external inquiries regarding inventory status, shipment tracking, and order fulfillment

Compliance & Continuous Improvement

• Ensure operational adherence to company policies, safety standards, and regulatory requirements

• Identify recurring discrepancies or process gaps and recommend systemic fixes to prevent them

• Contribute to lean and continuous improvement initiatives across the distribution center

Requirements: Required Skills & Competencies

• Sharp attention to detail and an audit mindset — you naturally look for things that don’t add up• Confidence to professionally challenge data, processes, and people until issues are resolved• Strong organizational and time-management skills with the ability to manage competing priorities• Advanced proficiency in Microsoft Excel (pivot tables, VLOOKUP / XLOOKUP, basic data analysis); solid Word and Outlook skills• Hands-on experience with Warehouse Management Systems (WMS) and/or ERP platforms (SAP, Oracle, NetSuite, Manhattan, or similar)• Excellent written and verbal communication skills, with the ability to interact professionally across all levels of the organization• Strong problem-solving and analytical mindset• Solid understanding of inventory control principles and end-to-end distribution workflows (receiving, putaway, transfers, picking, shipping)• Self-starter capable of working independently and holding others accountable through data

Required Qualifications

• High school diploma or equivalent• 2–3 years of experience in distribution operations, inventory control, warehouse administration, or a similar role• Demonstrated experience with inventory management, transactional auditing, or operations data analysis• Working knowledge of shipping, receiving, and putaway procedures

Preferred Qualifications

• Associate’s or Bachelor’s degree in Business Administration, Logistics, Supply Chain Management, or related field• Prior experience in textile, apparel, or consumer goods distribution• Familiarity with basic accounting, purchasing, or procurement processes• Exposure to lean, Six Sigma, or continuous improvement methodologies• Bilingual (English / Spanish) is a strong plus

Working Conditions

• Primarily office-based within the distribution center• Occasional walks of the warehouse floor required to verify activity, conduct cycle counts, or investigate discrepancies• Standard business hours, with occasional flexibility required during inventory cycles, peak periods, or month / year-end close
