Fleet Coordinator

Location: Russellville, AR
Job Type: Full-Time / Hourly

Position Summary

The Fleet Coordinator is responsible for supporting both the daily coordination and long-term optimization of the company’s fleet assets. This role ensures vehicles and equipment are properly maintained and operating efficiently to meet operational needs. Working closely with Operations, drivers, and leadership, the Fleet Coordinator combines asset management, coordination, and data-driven decision-making to minimize downtime and control costs. Key responsibilities include day-to-day asset coordination, permit management, WEX card administration, asset transfers and disposals, registration and licensing management, and oversight of titles and toll programs. This role also partners with Operations, Procurement, and Finance to ensure data accuracy and consistency across all systems and platforms.

Key Responsibilities

  • Serve as the primary point of contact for fleet-related inquiries, including managing the Asset inbox and supporting drivers and operations with equipment needs
  • Coordinate day-to-day asset management activities, including updates in systems (e.g., fleet management system, telematics platforms, fuel card management system) for new assets, transfers, and disposals
  • Maintain accurate asset records, including maintenance history, registrations, titles, and related documentation
  • Manage asset lifecycle activities, including onboarding, transfers, disposals, title processing, and coordination with Accounting and Operations
  • Oversee WEX card administration, including ordering, issuing, activating, and supporting field requests
  • Coordinate permits, toll programs, and registration processes with internal teams and external partners
  • Monitor fleet utilization and performance, identifying underutilized assets and supporting redeployment strategies
  • Analyze fleet data (telematics, maintenance, fuel, and cost metrics) to identify trends and support KPI tracking and reporting
  • Collaborate with Operations, Finance, Procurement, and vendors to ensure alignment, data accuracy, and continuous improvement of fleet performance

Minimum Qualifications

  • High school diploma or equivalent required
  • Strong organizational and record-keeping skills

Preferred Qualifications

  • 3+ years of experience in fleet coordination, transportation, logistics, or related field
  • Experience working with CDL drivers and commercial vehicles
  • Familiarity with ELD systems, telematics, and fleet management software
  • Knowledge of preventive maintenance programs and vendor coordination
  • Experience in waste, recycling, construction, or industrial environments
