About Beacon Kalamazoo
Beacon Kalamazoo provides 24/7 emergency care and a Level II Trauma Center. We deliver care for serious life-threatening injuries/illnesses, and your everyday health needs, including labor and delivery. We offer specialty care for heart/vascular disease, lung and sleep disorders, mental health conditions, and women’s health. We offer a wide range of outpatient services, including diagnostic imaging, lab tests, respiratory therapy and rehabilitation therapy services.

What You’ll Do

As a Centralized Referral Coordinator, you are responsible for assisting the Supervisor and Manager with daily operations and coverage of department activities. This position operates a variety of call systems to monitor call volumes, wait times, hold times, completion of calls, and documentation of calls. The Coordinator Access Services position reviews and documents call center data requests for the department. This position assists internal and external callers with escalated requests of routine and emergent natures and handles escalated communication center situations requiring a higher degree of reliability, flexibility, and critical thinking skills.

Centralized Referral Coordinator Job Responsibilities

  • Supports overall facility operations by promoting a positive, collaborative work environment and effective communication among department members.
  • Professionally greets and interacts with patients, answers phones, and assists with resolving complex patient needs or complaints.
  • Aids management with training, report distribution, competency assessments, and onboarding new hires.
  • Maintains cooperative relationships with medical offices, hospital services, and community agencies.
  • Evaluates processes under high-stress situations, recommending enhancements as needed.
  • Performs clerical duties, manages equipment inventory, coordinates repairs and supply orders, and reports operational issues.
  • Ensures staff coverage, monitors compliance with schedules and policies, and provides feedback on performance.
  • Participates in meetings and completes mandatory education, competencies, and annual health requirements on time.
  • Maintains required licenses, certifications, and training (e.g., BCLS/CPR) in good standing.
  • Adheres to universal precautions, regulatory requirements, surveys, and organizational policies.
  • Available to work overtime or flexible shifts as required.

What You Bring

As a Centralized Referral Coordinator, this position requires strong communication and interpersonal skills to maintain positive relationships with internal and external contacts. Analytical and problem-solving abilities to address patient issues and interpret data.

Working knowledge of clinical and front-office duties, including insurance verification and eligibility. Proficient in computer applications (Allscripts, Cerner, Excel, Word, Outlook) and basic database use; skilled in standard office equipment and secretarial tasks. Demonstrates leadership, organizational, and analytical skills to resolve day-to-day issues effectively. Work performed in a medical office setting; may require local travel to other office locations.

Required Qualifications

  • The knowledge, skills and abilities as indicated are normally acquired through the successful completion of a high school diploma or equivalent
  • Successful completion of an approved Medical Assistant Program or equivalent work experience of at least 3 years.
  • Previous medical office experience, ICD 10, CPT, online insurance eligibility or referral experience preferred.
