Job Overview

S2 Construction LLC is seeking a highly organized, detail-oriented Office Manager to serve as the operational hub of our Eastside Seattle headquarters. In this critical role, you will be the glue connecting our Sales, Production, and Finance departments, ensuring that all administrative processes flow seamlessly and accurately.

Supporting a company with a $60K/week sales goal and $500K/week production pipeline, you will be responsible for processing high-volume paperwork with speed, precision, and professionalism. This role requires someone who thrives in a fast-paced construction environment while maintaining the polished communication standards expected by our Bellevue and Issaquah clientele.

Key Responsibilities

As the Office Manager, your responsibilities include but are not limited to:

  • Serve as the first point of contact by professionally greeting vendors and customers in person and over the phone.

  • Manage incoming calls, general email inquiries, and customer communications.

  • Schedule appointments for estimators and prepare complete Bid Cards prior to job site visits.

  • Maintain both electronic and physical filing systems with 100% accuracy.

  • Scan and archive project documentation, including re-roof documents and job folders.

  • Process daily Accounts Payable (AP) and Accounts Receivable (AR) tasks.

  • Prepare invoices with accuracy and timeliness.

  • Manage the Mail-to-Bank pipeline, including mail retrieval and check deposits.

  • Balance payroll data in coordination with the CFO to ensure commission and wage accuracy.

  • Facilitate daily communication between Sales, Production, and Finance to prevent administrative bottlenecks.

  • Ensure project files are scanned and digitally archived within required timeframes.

  • Uphold confidentiality and discretion when handling payroll, banking, and financial records.

Key Performance Indicators (KPIs)

Success in this role is measured by:

  • Lead Response Time: 90% of customer inquiries responded to or scheduled within 60 minutes.

  • Invoice Accuracy: Maintain less than 1% error rate on invoices and payroll entries.

  • AR Aging: All checks deposited and recorded within 24 hours of receipt.

  • Document Readiness: 100% of Bid Cards and job folders prepared at least 12 hours before appointments.

  • Data Integrity: All project files scanned and digitally archived within 48 hours of project completion.

Qualifications
  • Minimum 4+ years of office management experience, preferably in construction, roofing, or home services.

  • Bilingual (Spanish) required.

  • Proficiency in Microsoft Office Suite.

  • Experience with QuickBooks or similar construction accounting software.

  • Familiarity with CRM systems.

  • Strong multitasking and organizational abilities in a fast-paced environment.

  • Superior verbal and written communication skills.

  • Professional demeanor when interacting with high-end residential clientele.

  • High level of integrity and discretion when handling financial documents.

  • Ability to work independently while supporting multiple department leaders.
