Role: Dispatcher/Operations Coordinator
FLSA: Full-Time | Hourly | Non-Exempt
The Dispatcher / Operations Coordinator plays a critical role in ensuring the efficient coordination of daily transportation and delivery operations. This position serves as the central communication hub between Sales, Project Management, Drivers, Crane Operators, and Customers to ensure timely, safe, and accurate delivery of products while maintaining exceptional service standards.
Responsibilities include but are not limited to:
- Coordinate daily and upcoming delivery schedules with the Sales team to ensure operational readiness and customer commitments are met.
- Accurately enter and maintain order information within company systems, ensuring alignment between customer orders, production schedules, and delivery plans.
- Schedule and dispatch drivers, crane operators, and equipment to maximize efficiency and meet project timelines.
- Monitor and track all deliveries from dispatch through completion, ensuring on-time arrivals, accurate reporting of job-site activity, and timely return of equipment and personnel.
- Maintain consistent communication with drivers and field personnel regarding schedule changes, route adjustments, equipment issues, weather impacts, and operational updates.
- Proactively identify and resolve transportation, scheduling, and delivery challenges to minimize disruptions and maintain customer satisfaction.
- Collaborate with Project Managers to address logistical requirements, site constraints, delivery sequencing, and transportation-related concerns.
- Prepare and distribute Bills of Lading (BOLs), delivery tickets, manifests, and other required transportation documentation.
- Track driver productivity, equipment utilization, and job-site activity to support operational efficiency and reporting requirements.
- Coordinate with Maintenance personnel regarding vehicle inspections, repairs, and equipment availability.
- Maintain accurate records and documentation related to deliveries, schedules, driver activity, and customer communications.
- Partner with Operations, Production, Sales, and Project Management teams to ensure seamless execution of projects and exceptional customer service.
Qualifications & Requirements
- Previous experience in dispatching, transportation coordination, logistics, construction operations, or fleet management preferred.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Exceptional attention to detail and data entry accuracy.
- Working knowledge of transportation, logistics, routing, and fleet operations.
- Excellent verbal and written communication skills with the ability to effectively interact with customers, drivers, vendors, and internal stakeholders.
- Proven ability to think critically, make sound decisions, and resolve operational challenges under pressure.
- Strong problem-solving and conflict-resolution skills.
- Proficiency in Microsoft Office Suite and transportation, dispatch, or ERP software systems.
- Ability to work independently while collaborating effectively across departments.
- Commitment to safety, operational excellence, and customer satisfaction.
Preferred Skills
- Experience coordinating deliveries involving oversized loads, crane operations, construction materials, or precast/precast concrete products.
- Knowledge of DOT regulations, transportation compliance requirements, and driver documentation.
- Experience working in a manufacturing, construction, or logistics-driven environment.
