Job Summary:

The Assistant Clinical Office Manager assists in overseeing the daily administrative and operational functions of the medical office. This role supports the Clinical Office Manager by supervising front-office staff, coordinating patient services, maintaining compliance with healthcare regulations, and ensuring efficient office operations while promoting a positive patient experience.

Key Responsibilities

• Assist with the daily management of clinical office operations.

• Supervise and support front desk, scheduling, and administrative staff.

• Coordinate patient scheduling, registration, and check-in/check-out processes.

• Ensure accurate patient records and compliance with HIPAA regulations.

• Monitor office workflows to improve efficiency and patient satisfaction.

• Assist with employee training, scheduling, and performance coaching.

• Address patient concerns and resolve service issues professionally.

• Maintain office supplies and coordinate equipment maintenance.

• Support billing, insurance verification, and prior authorization processes.

• Prepare reports, maintain records, and assist with budgeting and inventory.

• Ensure compliance with OSHA, HIPAA, and organizational policies.

• Collaborate with providers and clinical staff to support quality patient care.

Requirements:
  • 2–5 years of experience in a medical office or healthcare setting.
  • Previous supervisory or leadership experience preferred.
  • Knowledge of medical terminology, insurance processes, and electronic health record (EHR) systems.
  • Proficiency with Microsoft Office and practice management software.
  • Strong leadership and team management abilities.
  • Excellent communication and interpersonal skills.
  • Organizational and time management skills.
  • Problem-solving and conflict-resolution abilities.
  • Attention to detail and accuracy.
