Role Overview
VersAbility Resources is seeking a highly organized and detail-oriented Administrative Assistant to support operations within the Military Sealift Command (MSC) contract.
This role provides administrative, clerical, records management, and customer service support in a fast-paced government contract environment. The Administrative Assistant serves as a primary point of contact for the department and is responsible for maintaining accurate records, supporting compliance requirements, coordinating administrative activities, preparing reports and presentations, and ensuring efficient office operations. The ideal candidate is professional, adaptable, detail-oriented, and comfortable managing multiple priorities while handling sensitive and confidential information.

What You’ll Do
• Provide administrative and clerical support through correspondence management, scheduling, data entry, filing, and records management
• Serve as a primary point of contact by answering phones, responding to inquiries, and providing professional customer service
• Maintain and update databases, spreadsheets, reports, records, and filing systems
• Prepare reports, presentations, communications, and administrative documentation
• Coordinate meetings, appointments, timelines, and departmental activities
• Conduct research and assist with special projects and administrative assignments
• Collaborate with internal departments to support efficient workflow and operations
• Procure and maintain office supplies and equipment within approved budgets
• Support compliance, confidentiality, and data security requirements
• Assist with onboarding activities, workload coordination, and quality assurance reviews as assigned
• Float between locations and support administrative coverage as operational needs require
• Obtain and maintain access to military installations and work onsite during scheduled hours
• Perform other duties as assigned

Qualifications
• High school diploma or GED required, associate or bachelor’s degree in business administration, Human Resources, Administrative Support, or a related field preferred
• Minimum of two years of experience in an administrative, clerical, records management, or data entry role within a professional office environment
• Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and SharePoint
• Experience maintaining records, databases, spreadsheets, and administrative documentation with a high degree of accuracy
• Strong organizational, customer service, communication, and multitasking skills
• Ability to handle confidential and sensitive information with professionalism and discretion
• Ability to prioritize tasks, manage competing deadlines, and adapt to changing priorities in a fast-paced environment
• Experience supporting compliance-driven, government, military, or regulated environments preferred
• Leadership, team coordination, onboarding, or quality assurance experience preferred
• Familiarity with disability services is a plus
• Self- transportation required for travel between NBPL (Naval Base Point Loma) and NBSD (Naval Base San Diego) locations as needed
• Must possess or be able to obtain and maintain a Secret Security Clearance (Please note we can facilitate this process but obtaining at minimum an Interim Secret Clearance is required before receiving a start date.)
• Valid Driver's License required for applicable work locations________________________________________
Work Environment & Physical Requirements
This position operates in a professional office environment supporting a government contract. The role requires frequent interaction with staff, leadership, and external stakeholders.
Work is primarily sedentary, with prolonged periods of sitting and computer use. Occasional standing, walking, and lifting (up to 10–20 lbs.) may be required.
Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.

Schedule
This is a full-time position scheduled Monday through Friday from 6:00 AM to 2:30 PM (40 hours per week), offering a consistent daytime schedule. (40 hours per week). Occasional flexibility may be required based on operational needs.
