Job Description
The Advising and Onboarding Office Assistant supports the mission of ACC to provide educational programs and services to prepare all members of our diverse community to succeed. This position plays a critical role in providing excellent customer service and support to prospective students and guests. This position serves as the initial point of contact for prospective students, current students, and visitors, and ensures a welcoming and efficient onboarding environment. This position enhances the overall student experience and contributes significantly to the efficient operations of the college.
Essential Duties and Responsibilities
- Greet and assist customers in an efficient, friendly, and helpful manner.
- Assist prospective students with admissions and onboarding.
- Manage the intake and filing of various forms and documents for selective health programs.
- Assist with admission applications and other incoming admissions documents for health sciences students.
- Answer and manage incoming calls, voicemails, and emails for the Admissions Office.
- Assist the Veteran Services Coordinator with intake processes and document management for prospective and currently enrolled Veteran students
- Monitor and manage incoming calls, voicemails, and emails for the Admissions Office, including oversight of the advising email inboxes; ensure timely responses and triage high-need student inquiries as appropriate.
- Maintain accurate and up-to-date information on the College’s website for Health Sciences admissions processes as well as general advising pages, ensuring clarity and consistency for prospective and current students.
- Assist with health sciences information sessions using Zoom and/or other online technologies.
- Scan documents using document imaging software.
- Provide assistance to the Admissions Office as needed.
- Follow FERPA laws while processing and maintaining accurate student records.
- Perform other duties as assigned.
Required: High School Diploma; Excellent soft skills including strong interpersonal skills, a cheerful and enthusiastic personality, and a high level of flexibility, adaptability, cooperation and initiative; Attention to detail/accuracy; Excellent communication, organizational and customer service skills; Strong work ethic essential. Excellent computer skills including Microsoft Office, experience with databases, and proficiency in keyboarding and data entry. Must have the ability to multi-task and work as part of a team. Experience in a fast-paced office environment.
Preferred: A.A.S. degree or higher in Business Administration or related area; experience working in a community college setting; bilingual in Spanish.
