Job Description
The Purchasing & Receiving Clerk is responsible for overseeing the procurement, receiving, storage, and inventory control of all food, beverage, operating supplies, and equipment. This position ensures that products are purchased at the best quality and value while maintaining proper inventory levels, receiving procedures, food safety standards, and company policies.
Responsibilities
· Source and purchase food, beverage, and operating supplies from approved vendors.
· Obtain competitive pricing and negotiate costs, contracts, and delivery schedules.
· Create and process purchase orders in a timely manner.
· Monitor market trends, product availability, and price fluctuations.
· Develop and maintain strong relationships with vendors and suppliers.
· Ensure all purchases comply with company purchasing policies and budget guidelines.
· Work closely with culinary, banquet, restaurant, and stewarding teams to forecast product needs.
· Review invoices and resolve discrepancies with vendors.
Receiving Responsibilities
· Track daily receiving operations for all deliveries.
· Verify quantity, quality, pricing, and condition of all incoming products.
· Ensure products meet company specifications and food safety standards.
· Reject damaged, spoiled, incorrect, or unauthorized items.
· Maintain accurate receiving records and documentation.
· Ensure all received products are properly labeled, dated, and stored.
· Coordinate with department managers regarding delivery schedules and shortages.
Requirements:Qualifications
· Minimum 3–5 years of purchasing, receiving, inventory control, or hospitality procurement experience.
· Strong knowledge of food and beverage purchasing practices.
· Experience with inventory management systems and purchasing software.
· Proficiency in Microsoft Excel and reporting tools.
· Strong organizational, analytical, and problem-solving skills.
· Excellent communication and vendor negotiation abilities.
· Ability to lift up to 50 pounds and work in refrigerated storage environments.
· ensure compliance with local, state, and federal health regulations.
· Maintain HACCP, food safety, and sanitation standards.
· Ensure proper rotation of products using FIFO procedures.
· Maintain organized, clean, and secure storage areas.
· Enforce workplace safety procedures and company policies.
Preferred experience
· Resort, hotel, country club, or high-volume food and beverage operation experience.
· Knowledge of food cost management and budget controls.
· Experience with luxury hospitality standards.
· Familiarity with Cedar creek/Birch Street, or similar purchasing systems.
