Accounting Clerk

Department: Administration

Reports To: Accounting Manager

FLSA Status: Non-Exempt

Pay Grade: 16

Prepared Date: 03/15/2023

Summary:

An Accounting Clerk performs a range of accounting operations such as: examining, verifying, and correcting accounting transactions to ensure completeness, accuracy of data, and proper identification of accounts. Works under minimal supervision to successfully carry out essential job duties and responsibilities.

Essential Duties and Responsibilities: (Other duties may be assigned.)

  • Accounting Clerk
    1. Prepares and enters recurring journal entries.
    2. Reviews routine transaction codes by referring to chart of accounts, active code list or other referenced sources.
    3. Performs simple reconciliation of general ledger accounts monthly.
    4. Compiles data for review and analysis.
    5. Prepares simple routine reports and spreadsheets.
    6. Processes customer payments, electronic payments, payment files, invoice payments, permits, inspection fees, etc.
    7. Reviews and verifies cash drawers and prepares deposits.
    8. Reviews and researches adjustments and payment discrepancies.
    9. Assists with the posting of assessment/lateral payments.
    10. Assists with the collection of vending money funds.

  • Accounts Payable Clerk
  1. Routes invoices for departmental approval.
  2. Reviews and reconciles monthly vendor statements.
  3. Monitors the accounts payable email for distributing/routing invoices to correct department.
  4. Reviews documents for accuracy prior to payment. (i.e. Account coding, project/job numbers, analytical coding if applicable, sufficient descriptions, available funds on purchase orders, funding sources, etc.).
  5. Matches invoices and packing slips to receipts and/or purchase orders.
  6. Reviews work orders in Lucity for compliance with Capitalization Policy.
  7. Assists with setting up new vendors and required information.
  8. Researches and follows up on vendor inquiries and/or unpaid invoices.

Education/Experience:

High School diploma or GED and one-year related experience and/or training; or equivalent combination of education and experience.

Knowledge, Skills, and Abilities:

  • General Skills – Ability to use common office equipment. Knowledge of bookkeeping principles and practices (debits, credits, revenues, expenses, balance sheet etc.) Knowledge of administrative and clerical procedures such as sorting/distributing mail, scanning documents, filing, etc.

  • Language Skills - Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

  • Mathematical Skills - Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

  • Reasoning Ability - Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

  • Computer Skills – Sufficient knowledge of Microsoft Excel and Microsoft Word to include formatting documents, developing auto calculating spreadsheets, sorting, and filtering tables, creating charts and graphs, etc.
