Job Description
Location: APSI Corporate Office located 8885 Research Drive, Irvine, CA 92618
Pay Range: $50,000 - 65,000/year plus benefits
Department: Marketing
Reports to: Marketing Manager
Anticipated Start Date: ASAP
Position Details:
The Marketing Administrator supports proposal development, business development tracking, and marketing operations for a construction management firm serving public agencies. This role requires strong organization, attention to detail, and the ability to manage multiple deadlines in a compliance-driven environment.
Work Model:
This is a fully on-site position requiring in-person attendance five (5) days per week.
Daily Responsibilities:
- Monitor bid sites; download RFP/Qs.
- Proposal support; format and proof content.
- Maintain department libraries
- Update reference documents
- Track and manage calendar of trade shows and industry events.
- Perform reformatting, resizing, and revisions.
- Proactively monitor list of active Business Enterprise Certifications
- CRM Database entry and maintenance.
- Additional responsibilities as needed.
Required Qualifications (Experience, Education, Certifications, Clearances, etc.):
Experience
- BA in Business Marketing, Administration, Journalism, Communications, or a related field, OR 3-5 years of marketing experience, preferably within AEC, construction management, architecture, engineering, or related professional services industries
- Working knowledge of public agency procurement processes (RFQ/RFP, SOQ, compliance forms)
- Experience formatting and assembling compliant proposals in deadline-driven environments
Technical Skills
- Proficiency in: Adobe Creative Suite (InDesign); Microsoft Office (Word, PowerPoint, Excel); CRM systems (Deltek VantagePoint)
- Strong proofreading and formatting skills with high attention to detail
- Ability to reformat graphics, resize images, and adjust layouts for proposal compliance

Preferred Qualifications:
- Experience with Federal Government procurement processes and working with SF330s
- Familiarity with California public procurement processes
- Experience tracking Business Enterprise Certifications (SB, DVBE, DBE, etc.)
- Understanding of construction terminology and project delivery methods
