UWM Research Foundation (UWMRF) | Hybrid | Part-Time (20 Hours per Week)

The UWM Research Foundation (UWMRF) is seeking a Part-Time Administrative Assistant & Program Coordinator to join our collaborative team. In this role, you will help support the administrative operations, communications, events, and innovation programs that advance research, entrepreneurship, and technology commercialization at the University of Wisconsin-Milwaukee (UWM).
This position offers the opportunity to work closely with university innovators, entrepreneurs, industry partners, and community stakeholders while contributing to programs that help transform ideas into real-world impact.

What You'll Do
Administrative Support
- Schedule appointments and meetings and prepare agendas
- Coordinate quarterly Board of Directors meetings and committee meetings
- Prepare and maintain board materials, attendance records, meeting notes, and correspondence
- Process expense reports, deposit checks, and coordinate credit card expense submissions
- Support general office operations and special administrative projects
Marketing & Communications
- Create promotional materials, event flyers, social media graphics, and invitations
- Assist with newsletters, website updates, and external communications
- Coordinate development and production of the UWMRF Annual Report
- Gather content, manage timelines, and support publication and distribution efforts
Events & Program Coordination
Coordinate logistics and communications for UWMRF programs and events, including:
Monthly
- ENGAGE Mentor Swarms
Annual Programs & Events
- First Look Forum
- Partner's Reception
- Catalyst Grant Program
- NSF Art Grant support
Responsibilities may include:
- Scheduling and project coordination
- Managing registrations and submissions
- Coordinating catering and venues
- Preparing materials, gifts, and awards
- Communicating with presenters, applicants, and attendees
- Tracking deadlines and ensuring successful event execution
What We're Looking For
Required Qualifications
- Experience in an administrative, office, event planning, marketing, or related professional environment
- Strong written and verbal communication skills
- Proficiency with Microsoft Office (Word, Excel, Outlook, and PowerPoint)
- Excellent organizational skills with the ability to manage multiple priorities and deadlines
- Strong attention to detail and follow-through
- Ability to work independently and collaboratively in a small team environment
- Professional, positive, and service-oriented approach
Preferred Qualifications
- Experience with Canva, Constant Contact, OneDrive, and AI tools
- Experience updating websites, particularly WordPress
- Familiarity with social media platforms including LinkedIn, YouTube, and Instagram
- Interest in innovation, entrepreneurship, research, or higher education
- Event planning or project coordination experience
Work Schedule
This is a part-time, 20-hour-per-week position. Work hours are flexible and scheduled in collaboration with management between standard business hours. The position follows a hybrid work model and includes participation in regular in-person team meetings and occasional evening events or receptions as needed.
