Job Summary
Garden State Laboratories, Inc. is seeking a full-time Administrative Assistant to join our team at our Jersey Shore Lab in Waretown, New Jersey. This role supports daily laboratory operations by coordinating administrative functions, handling sample documentation, performing data review, and ensuring compliance with regulatory standards. The ideal candidate brings a background in the environmental field and a foundational understanding of science to support our technical staff and maintain high standards of quality assurance.
Responsibilities
Manage administrative workflows, client communications, and front-office correspondence for the laboratory.
Perform initial data review of analytical reports and chain-of-custody documentation for accuracy and completeness.
Coordinate sample intake records, client reporting, and administrative filings in accordance with NJDEP guidelines.
Maintain organized physical and digital records to support state compliance audits and internal quality control checks.
Communicate with the New Jersey Department of Environmental Protection (NJDEP) and clients regarding project documentation and reporting statuses.
Assist supervisors with scheduling, supply ordering, and tracking project turnaround times (TATs).
Prepare routine administrative reports and data entry tasks using laboratory information management systems and office software.
Maintain a clean, professional, and compliant office space in accordance with company health and safety guidelines.
Other administrative duties as assigned by management to support operational needs.
Experience & Education Requirements
Associate’s or Bachelor’s Degree in a scientific discipline (e.g., Environmental Science, Biology, Chemistry) required.
Minimum 1–2 years of experience in the environmental field or an environmental laboratory environment.
Direct experience working with NJDEP regulations, reporting formats, or compliance standards strongly preferred.
Prior experience with environmental data review or laboratory information management systems (LIMS) is highly desirable.
Job Skills
Strong familiarity with NJDEP environmental regulations and documentation processes.
Proficiency in technical data review and attention to detail.
Excellent computer skills: Microsoft Office (Excel, Word, Outlook) and databases.
Strong written and verbal communication skills.
Exceptional organizational and multitasking capabilities in a fast-paced setting.
