This role is ideal for someone who thrives in a service-oriented environment, anticipates needs, manages competing priorities with sound judgment, and ensures seamless execution across a wide range of executive and organizational activities.

Key Responsibilities:

  • Manage and optimize the CEO’s calendar to ensure alignment with organizational priorities and mission-critical work

  • Anticipate scheduling conflicts and competing demands, proactively resolving issues to support effective use of CEO's time

  • Ensure the CEO is fully prepared for meetings, site visits, community engagements, and external commitments

  • Exercise strong judgment in managing incoming requests and prioritizing time and attention for highest-impact activities

  • Synthesize information from across the organization to support CEO decision-making and focus

  • Identify issues, risks, or gaps in advance and proactively elevate or resolve them as appropriate

  • Prepare agendas, briefing materials, presentations, and follow-up documentation for internal and external meetings

  • Coordinate logistics for executive meetings, leadership sessions, board meetings, and community or partner engagements

  • Track and ensure completion of action items and commitments across stakeholders

  • Support coordination of Board of Directors meetings, including scheduling, materials preparation, and distribution of board packets

  • Serve as a key liaison for board-related communications and logistics

  • Maintain professionalism and accuracy in all external-facing interactions

  • Coordinate domestic and international travel arrangements, ensuring accuracy and efficiency

  • Manage all related logistics for CEO engagements, including site visits and field-based meetings with partners, residents and other key stakeholders

  • Draft, edit, and prepare executive communications, presentations, and materials as needed

  • Support management of information flow between the CEO and internal/external stakeholders

  • Assist with maintaining the CEO’s external presence, including communications and social media updates as directed

  • Handle sensitive and confidential information with the highest level of discretion and integrity

  • Build strong, trusted relationships across the executive leadership team

  • Demonstrate commitment to the organization’s mission and values in all interactions

Qualifications:
  • Bachelor’s degree required (or equivalent experience supporting senior executives in complex environments)

  • Minimum 5+ years of experience supporting C-suite executives, senior leadership, or government officials

  • Strong organizational, time management, and prioritization skills in a dynamic environment

  • Excellent written and verbal communication skills, including preparation of executive-level materials

  • High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)

  • Proven ability to manage confidential information with discretion and professionalism

  • Experience in nonprofit, affordable housing, real estate development, or government sector strongly preferred
