ABOUT THE POSITION

The Service Coordinator at AOS Interior Environments plays a critical role in supporting clients after installation by overseeing service, warranty, and preventive maintenance work. This role is responsible for ensuring post-installation issues are resolved efficiently while maintaining the high level of service and quality our clients expect throughout the life of their spaces.

Serving as the primary point of contact between clients, manufacturers, Service Technicians, and internal Operations teams, the Service Coordinator coordinates resources, manages manufacturer warranty claims, and oversees preventative maintenance contracts to ensure timely resolution and exceptional client service. This position is primarily office-based and works closely with Operations Project Managers, Installation teams, Manufacturers, and Operations Leadership to deliver consistent, service-minded outcomes.

RESPONSIBILITIES / TASKS

Service + Warranty Management

  • Serve as the primary point of contact for client service requests, warranty claims, and preventive maintenance needs.
  • Receive, document, prioritize, and manage service requests from initial intake through final resolution.
  • Monitor service timelines, proactively identifying and resolving scheduling conflicts, resource constraints, or client concerns.
  • Ensure all service, warranty, and preventative maintenance work is completed and properly closed out in accordance with AOS quality standards and manufacturer requirements.

Manufacturer + Vendor Coordination

  • Communicate directly with manufactures regarding warranty claims, service authorizations, replacement parts, and issue resolution.
  • Coordinate parts orders, replacements, and service logistics, to minimize downtime and ensure timely completion of work.
  • Maintain accurate warranty documentation and ensure compliance with manufacturer requirements.

Service Team Leadership + Resource Coordination

  • Provide direct supervision of Service Technicians, including time approval, scheduling, workload coordination, and performance management.
  • Coordinate labor, materials, tools, and equipment with Operations, Warehouse, Installation teams to support service work.
  • Monitor technician utilization and prioritize work to ensure efficient response times and fulfillment of preventative maintenance contracts.
  • Support the ongoing development and training of Service Technicians while promoting accountability, safety, and continuous improvement.

Communication + Reporting

  • Communicate clearly and professionally with clients to set expectations and provide timely updates.
  • Maintain accurate records in project management and service tracking systems.
  • Prepare reports related to service activity, open issues, technician workload, and project status for Operations leadership.
  • Identify recurring service issues and collaborate with Operations Leadership and manufacturers to improve processes and the overall client experience.
Requirements:

PREFERRED EXPERIENCE & SKILLS

  • Experience in project management, service coordination, operations, or a related field (commercial furniture or construction experience preferred).
  • Demonstrated experience leading or supervising field or service teams.
  • Strong organizational and time-management skills with the ability to manage multiple projects simultaneously.
  • Excellent written and verbal communication skills.
  • Proven ability to problem-solve, take initiative, and adapt to changing priorities.
  • Ability to build trust and maintain professional relationships with clients, manufacturers, and internal teams.
  • Proficiency with project tracking systems, basic computer applications, and email communication.

PHYSICAL REQUIREMENTS

  • Ability to lift and/or move objects up to 35 lbs.
  • Frequent computer and desk-based work, with occasional standing, walking, bending, or lifting.
  • Occasional exposure to warehouse, jobsite, or installation environments.
  • Ability to safely navigate office, warehouse, and jobsite settings.
  • All candidates must successfully pass a drug screening and background check as part of the hiring process.
  • All candidates must complete a Culture Index Survey
