Job Description
The Houseman is a trusted member of the household staff who provides comprehensive support for the daily operation, presentation, and maintenance of the residence. This role requires exceptional discretion, sound judgment, flexibility, and a service-oriented mindset. The Houseman performs a wide range of household duties while ensuring the safe, punctual, and discreet transportation of the principals, family members, and guests. Success in this role requires professionalism, attention to detail, and an unwavering commitment to providing exceptional service. This individual will work collaboratively with the Maintenance Manager to ensure preventive maintenance schedules are followed and that all estate assets—including the residence, recreational vehicles, boats, automobiles, and other equipment—are properly maintained, serviced, and presented in excellent condition. The Houseman will also ensure all transportation is conducted safely, securely, punctually, and with the highest level of professionalism, providing a seamless five-star experience that reflects the estate's commitment to excellence.
Requirements:Key Responsibilities
Household:
- Always maintain 5 Star atmosphere of the estate
- Assist Maintenance Manager with preventative and routine maintenance of the estate
- Responsibilities also include but not limited to grocery order pick-up, and other household errands
Transportation:
- Safely transports principals, family members, and guests to and from destinations
- Ensure timely pickups, route planning, and contingency plans for traffic or delays
- Coordinates airport transfers, events, and long-distance travel
- Plan and coordinate all daily and special event transportation needs
- Monitors traffic, weather conditions, and road closures to optimize travel routes
- Coordinates with household staff or assistants regarding schedules and pickups
- Assists with luggage handling, deliveries, and personal errands as required
- Sources and assists in the acquisition or leasing of new vehicles
- Supports airport transfers, formal events, and out-of-town travel
- Establishes and documents primary, secondary, and emergency travel routes
- Practices defensive driving and upholds all traffic regulations
- Responds to on-call needs, including evenings, weekends, and early mornings
- Offers concierge-style service and anticipating Principal preferences
- Creates and updates transportation protocols in the household manual
- Maintains safety awareness and practices calm decision-making under pressure
- Represents the household with courtesy and professionalism at every touchpoint
- Occasionally may have to handle valet parking for events with additional staff assisting
- Performs daily vehicle checks, including cleanliness, fuel, tire pressure, and fluid levels
- Manages regular maintenance, inspections, and registrations for all fleet vehicles
- Tracks mileage, fuel consumption, and maintenance logs
- Maintain records for insurance registration, and service history
- Develop and maintain lists and coordinate with dependable vendors for repairs, detailing, and upgrades
Safety and Security:
- Ensure proper tire pressure on all vehicles
- Maintain awareness of security risks and privacy concerns
- Ensure discretion in all transportation activities
Working Conditions:
- Flexible schedule at times; may be needed early mornings, evenings, weekends, and holidays
- On-call ability for last-minute travel needs or emergency maintenance repairs
- Fast paced environment requiring quick decision making and adaptability
Required Skills & Qualifications:
- High level professionalism, always ensuring full confidentiality and discretion
- Excellent driving history
- Excellent teamwork, communication, and problem-solving skills
- Prioritization and time management skills
- Familiar with local routes, traffic patterns, and travel logistics
- Comfortable using smartphones, tablets, and computer systems to communicate, manage calendars, maintain digital records, and coordinate with vendors.
- Ability to learn and use household management software, security systems, and other technology platforms as required
Education & Experience:
- Experience working in private estates, luxury hotels, or VIP services a plus
- Experience in chauffeur services, fleet management, or luxury hospitality a plus
- Knowledge of high end or specialty vehicles (luxury, RV, boats, etc.)-will sometimes assist Maintenance Manager with RV and boats
- High school diploma or equivalent
- Basic knowledge of plumbing, electrical, landscaping, pool and pool equipment, carpentry, metal work, etc. with the ability to do small repairs
