Receiving and Distribution Coordinator
$19 - $22/hr. | Red Bank Veterinary Hospital | Red Bank, NJ

Job Description:
The Receiving & Distribution Coordinator is responsible for the efficient receipt, inspection, organization, documentation, and distribution of all incoming shipments throughout the hospital. This position ensures that pharmaceuticals, medical supplies, laboratory materials, equipment, office supplies, and client service items are received accurately, stored properly, and delivered promptly to the appropriate departments.
In addition to receiving and distribution responsibilities, this position supports Purchasing & Inventory operations by assisting with inventory control, inventory reporting, physical inventories, departmental stock management, data entry, and special projects. The coordinator serves as a resource in maintaining inventory accuracy, operational efficiency, and exceptional internal customer service while supporting the hospital's financial and patient care objectives.
Responsibilities:

This position ensures that pharmaceuticals, medical supplies, laboratory materials, equipment, office supplies, and client service items are received accurately, stored properly, and delivered promptly to the appropriate departments.
In addition to receiving and distribution responsibilities, this position supports Purchasing & Inventory operations by assisting with inventory control, inventory reporting, physical inventories, departmental stock management, data entry, and special projects. The coordinator serves as a resource in maintaining inventory accuracy, operational efficiency, and exceptional internal customer service while supporting the hospital's financial and patient care objectives.
Responsibilities:
- Receive all incoming deliveries from vendors, freight carriers, UPS, FedEx, USPS, courier services, and other delivery companies.
- Sort and verify shipments against purchase orders, invoices, and packing slips for accuracy.
- Prioritize emergency, refrigerated, frozen, hazardous, and time-sensitive deliveries and inspect all incoming shipments for damages, shortages, incorrect products, expiration dates, and shipping discrepancies.
- Share communication of departments stock requests, delivery and fulfillment with each requestor and Clinical Coordinators.
- Document receiving discrepancies and immediately report damaged, missing, or incorrect items to the Purchasing & Inventory Manager.
- Coordinate vendor returns, replacements, and credits when necessary.
- Develop and maintain the department stock lists that are required for each department.
- Assist with special tasks as assigned by the Purchasing & Inventory Manager.
- Support quarterly physical inventories, cycle counts and inventory reconciliations when necessary.
- Report inventory discrepancies, recurring receiving issues.
- Cross Train in all job functions of the Purchasing & Inventory Department to gain knowledge and the ability to assist when necessary.
- Perform additional duties as assigned by the Purchasing & Inventory Manager.
Safety Organization & Compliance
- Maintain a clean, safe, and organized receiving and storage environment.
- Properly store pharmaceuticals, refrigerated products, hazardous materials, and medical supplies according to manufacturer recommendations and hospital policy.
- Operate carts, pallet jacks, hand trucks, and other material handling equipment safely.
- Follow OSHA regulations, hospital safety standards, and infection control policies.
- Ensure compliance with all organizational purchasing, inventory, and receiving procedures.
Qualifications
- High school diploma or equivalent required.
- Previous experience in receiving, warehouse operations, logistics, inventory control, purchasing support, shipping, or distribution preferred.
- Experience in a veterinary, healthcare, or medical environment is preferred.
- Working knowledge of Microsoft Office and inventory management software.
- Ability to learn practice management software and purchasing systems.
- Basic mathematical skills and attention to detail.
- Excellent organizational, communication, and time management skills.
- Ability to prioritize multiple responsibilities in a fast-paced environment.
- Strong problem-solving skills and the ability to work independently while contributing as part of a team.
- Fluent English skills (speaking & reading) are required for the role; fluency in multiple languages a plus!
