Job Summary:
We are seeking a detail-oriented and highly organized Project Analyst to manage the financial lifecycle of our ongoing projects. Sitting at the intersection of operations and finance, this role goes beyond standard data entry to ensure the accuracy and profitability of our project portfolio. The Project Analyst will take ownership of project billing, accounts payable/receivable workflows, and project reporting, while collaborating closely with project management teams. Additionally, this role serves as a key support to the Vice President of Accounting, assisting with financial statement preparation, analysis, and overall department functions.
Duties/Responsibilities:
Project Finance & Billing
- Manage the full-cycle project billing process, ensuring invoices are generated accurately and in compliance with contract terms.
- Process and record client receipts, monitor accounts receivable balances, and proactively follow up on aging accounts.
- Enter, code, and process Accounts Payable (AP) vouchers, ensuring costs are accurately allocated to the correct projects and general ledger accounts.
- Prepare, review, and analyze project financial reports to track budgets, expenditures, and overall project performance.
Cross-Functional Collaboration
- Serve as the primary financial liaison for the operations team, collaborating daily with Project Administrators and Project Managers.
- Review project contracts and setups with PMs to ensure billing milestones and budgets are accurately reflected in the accounting system.
- Resolve billing discrepancies, answer financial inquiries from the project team, and ensure smooth communication between operations and finance.
General Accounting & Leadership Support
- Assist the Vice President of Accounting with the daily, monthly, and annual functions of the accounting department.
- Support the maintenance and optimization of basic accounting procedures, specifically within the AP and AR systems.
- Assist in the preparation, review, and analysis of company financial statements and month-end close documents.
- Conduct ad-hoc financial analysis and reporting as requested by executive leadership.
Required Skills/Abilities:
- Proficient in Microsoft Office (Excel & Word)
- Excellent organizational skills and ability to manage multiple, concurrent projects in a deadline-driven environment with keen attention to detail
- Creative self-starter who is comfortable with both taking initiative and working in collaboration
Education and Experience:
- Business Degree in Accounting or Business Management or 5 years of experience
Physical Requirements:
Work requires little or no physical effort. Lifting or performing other work requiring light physical exertion (up to 30 pounds) is intermittent (not a routine part of the job) and secondary to the job.
Environmental Conditions:
Work is performed under basically normal working conditions as in a standard office environment.
