This is a vital client-facing coordination role focused on ensuring smooth and efficient intake and referral processes within a fast-paced, service-oriented environment. In this position, you will act as the key link between referral sources, families, and internal clinical teams, ensuring that client onboarding is handled accurately and without delay. You will manage incoming referrals, maintain detailed records, and support clear and timely communication across all stakeholders. The role requires strong organizational skills and attention to detail, as well as the ability to manage multiple cases simultaneously in a remote, structured environment. You will also contribute to improving operational workflows and reporting on intake activity and referral trends. - Manage incoming client referrals, ensuring all required information is collected, verified, and accurately recorded to initiate the intake process.
- Serve as the main point of contact for referral sources, maintaining professional and responsive communication at all times.
- Communicate clearly with families regarding referral status, onboarding steps, documentation requirements, and next actions.
- Maintain accurate and up-to-date records of referral activity and client intake progress within CRM systems and internal databases.
- Coordinate closely with clinical and administrative teams to ensure timely scheduling, onboarding, and service initiation for new clients.
- Monitor referral workflows and identify opportunities to improve efficiency and streamline intake processes.
- Generate and share regular reports on referral trends, intake volumes, and operational metrics with management.
- Ensure confidentiality and compliance when handling sensitive client information.
- Support continuous improvement of intake and referral procedures through feedback and process optimization.
- Previous experience in referral coordination, intake management, healthcare administration, or similar operational support roles.
- Strong communication and interpersonal skills with the ability to engage professionally with families, providers, and internal teams.
- Excellent organizational and multitasking abilities, with the capacity to manage multiple cases simultaneously.
- Experience working with CRM systems or administrative platforms for data entry and case tracking.
