Job Description
Description: This is a non-exempt position. The incumbent is responsible for managing the front desk and providing direct support services to individuals living with a developmental disability. This position will be the first point of contact for customers calling or visiting the Worcester County Developmental Center (WCDC). The receptionist performs various administrative tasks.
Rate of Pay: $18.00 per hour
Hours: Monday – Friday; 8:00 a.m. - 4:00 p.m.
Essential Duties and Responsibilities:
- Answers telephone calls to take messages, transfer calls to appropriate parties and provide routine information;
- Greets and directs office visitors to appropriate individuals;
- Ensure office visitors check in/out daily;
- Take client attendance and call buses when it’s time to load/unload clients;
- Assist with filing, maintain spreadsheets, create newsletters, flyers, etc.;
- Files reports, records, forms, and other material according to office procedures;
- Performs duties as a direct support professional, when needed;
- Updates and maintains logs, schedules, rosters, records, and lists;
- Maintain front supply room, to include changing toner in copier, as needed;
- Opens, stamps, sorts, and distributes incoming mail and prepares material for outgoing mail;
- Receives and distributes deliveries;
- Check WCDC email and distribute to the appropriate party;
- Create and maintain mass emails, press releases, etc.;
- Assist with special occasions and upcoming events;
- Copies or scans various materials;
- Completes and forwards form letters to provide or request information;
- Enters, retrieves, and updates information using computer software applications;
- May maintain routine statistical and numerical records requiring basic arithmetic computations;
- Order, receive and distribute office supplies and materials;
- Type correspondences, reports, schedules, and other material using a computer or word processor;
- Take minutes for various meetings;
- Coordinate all staff t-shirt orders;
- Check in cash or checks brought to the front desk by clients and/or visitors;
- Develop and maintain a schedule of use for meeting rooms;
- Assist with the organization of walk-in interviews each week;
- Maintain the accuracy of the phone extension list and organizational chart, updating as needed;
- Attends required training and in-services meetings;
- Prepare and distribute birthday, sympathy, and any other cards requested each month;
- Maintain the mailboxes in the lobby area, updating name tags and making copies as needed;
- Assist with the management of WCDC’s social media accounts, as requested;
- Obtain and maintain certifications in employer provided training in CPR, First Aid, and other related training as required by WCDC;
- Performs other duties as assigned.
Qualifications: Must be at least 21 years old, with a valid driver's license, and approved to transport clients. License may not be Provisionals and have a driving record that reflects responsibility and maturity. Complete all DDA Core Training successfully. Pass and maintain a DOT certification.
Education/Experience: A High School Diploma/GED required.
Physical Requirements: Must be able to stand and walk 90% of work time; sit and/or drive 10%. Must be able to lift, carry, push, and/or pull 60 pounds; must be able to stoop, kneel, crouch and reach. All the requirements are necessary in order to properly supervise and assist individuals with disabilities. Should be able to climb stairs/ladder and have good balance. Vision is required in order to drive.
