Job Description
- Maintain a full-time onsite presence in the Minneapolis office, Monday–Friday, 9:00 AM–5:00 PM.
- Greet and assist visitors, clients, and employees, ensuring a professional and welcoming reception experience.
- Support office facilities needs, including monitoring and replenishing office and kitchen supplies, accepting deliveries, coordinating maintenance, and assisting with overall workspace functionality.
- Maintain organization, cleanliness, and readiness of reception and shared office areas.
- Provide administrative support to Office Directors firmwide, including calendar coordination, meeting scheduling, and day-to-day administrative assistance.
- Manage travel arrangements and expense reporting for Office Directors.
- Coordinate internal and external meetings and events, including room scheduling or off-site venues, catering and refreshments, preparation of materials, and logistical communication.
- Support internal cultural engagement initiatives, including event assistance and recognition or gifting coordination.
- Answer and direct calls on the main reception line in collaboration with other administrative team members.
- Provide cross-functional administrative support to colleagues to ensure seamless office coverage and consistent service delivery.
- Assist with special projects, tasks, and assignments in support of operational and business objectives.
- Maintain a high standard of professionalism, customer service, and confidentiality in all interactions.
- Minimum 4 years’ administrative support experience or office coordination, preferably in architecture, design or construction industries.
- Proficiency with Microsoft Office Suite and standard office technologies; ability to quickly learn internal systems and tools.
- Strong verbal and written communication skills.
- Proven ability to manage multiple priorities, meet deadlines, and maintain attention to detail in a fast-paced environment.
- Professional demeanor with a service-oriented and proactive approach.
