Volunteer Coordinator
Job Title: Volunteer Coordinator
Classification: Full-Time – Non-Exempt
Reports To: Development Manager
Location: In-Office - Waite Park, MN
Pay Rate: $21/hour
Summary:
The Volunteer Coordinator is responsible for recruiting, onboarding, scheduling, engaging, and retaining ConnectAbility of MN’s volunteers. This role serves as the primary contact for volunteers and works closely with Programs and Development teams.
The Volunteer Coordinator leads the day-to-day administration and coordination of the volunteer program, ensuring a welcoming experience for volunteers while maintaining clear communication and collaboration with internal teams. This position plays a key role in strengthening community connections and advancing ConnectAbility of MN’s mission.
Schedule: Monday – Friday, standard business hours. Some nights and weekends may be required.
Responsibilities:
Volunteer Recruitment & Onboarding
- Recruit volunteers through community outreach, events, partnerships, and other appropriate channels.
- Review applications and coordinate screening, background checks, and onboarding requirements.
- Coordinate volunteer orientation and role-specific training.
- Ensure volunteers understand applicable policies, procedures, expectations, and boundaries.
- Match volunteers with appropriate opportunities based on skills, interests, availability, and program needs.
Volunteer Coordination & Engagement
- Administer, grow, and continuously improve the volunteer program at the Waite Park location, while supporting our satellite offices.
- Maintain consistent, timely communication with volunteers and staff to ensure clear expectations and positive experiences.
- Develop and distribute volunteer communications, including opportunities, reminders, updates, and recognition.
- Oversee volunteer hospitality, recognition, appreciation, incentives, and engagement efforts.
- Develop and implement strategies to support volunteer satisfaction and retention.
- Address volunteer concerns, conflicts, conduct issues, and policy violations in accordance with organizational policies.
- Coordinate volunteer communications, including opportunities, reminders, updates, and recognition.
Volunteer Administration, Data & Accountability
- Maintain accurate and up-to-date volunteer records within the organization's CRM/database, including applications, contact information, interests, availability, training, volunteer hours, placements, and status.
- Track volunteer hours, participation, placements, training, and other relevant program data.
- Prepare volunteer program reports and metrics as requested.
- Monitor volunteer participation and retention and identify opportunities for improvement.
- Coordinate volunteer transitions and offboarding for departing or inactive volunteers in accordance with organizational procedures.
- Ensure volunteers adhere to the Volunteer Handbook and organizational policies.
- Document and appropriately escalate significant volunteer concerns, incidents, or safety issues.
Community Outreach & Organizational Support
- Attend community events and partner meetings to promote volunteer opportunities and strengthen relationships.
- Utilize volunteers' interests, skills, and community connections to identify potential recruitment and partnership opportunities.
- Partner with program staff and leadership to identify and develop meaningful volunteer opportunities aligned with organizational needs.
- Collaborate closely with internal teams to ensure volunteer support is aligned with program and organizational priorities.
- Participate in organizational meetings, initiatives, and cross-location support as needed.
- Support and uphold the mission, vision, and values of ConnectAbility of MN.
Other Duties as Assigned
- Perform other duties as assigned to support program and organizational needs.

Requirements:Qualifications:
- High school diploma or GED required.
- Basic computer proficiency.
- Strong organizational skills with the ability to manage multiple projects, deadlines, and event details simultaneously.
- Demonstrated experience coordinating events, community programs, or related initiatives.
- Excellent communication and relationship-building skills with community partners, vendors, volunteers, and community members.
- Ability to work independently while collaborating effectively with a team.
- Strong attention to detail, problem-solving skills, and ability to adapt to changing priorities.
- Valid driver’s license and reliable vehicle (mileage reimbursed per policy).
- Ability to perform physical tasks related to event setup and execution.
- Professional, respectful approach when interacting with community members, partners, vendors, and volunteers.
- Growth-oriented mindset with a desire to strengthen and sustain the organization.
- Ability to pass a background check.
- Experience with community events, nonprofit organizations, or CRM/event registration software (preferred).
