Payroll Tax Analyst

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Payroll Tax Analyst based in the United States.

This role is responsible for ensuring accurate and compliant payroll tax processing across multiple states, supporting a large and complex workforce in a fast-paced, high-volume environment. You will act as a key subject matter contributor for payroll tax operations, helping to identify, analyze, and resolve tax-related discrepancies while ensuring adherence to federal, state, and local regulations. The position plays a critical role in maintaining the integrity of employee tax data, supporting audits, and ensuring timely and accurate reporting across payroll systems. You will collaborate closely with payroll, HR, and compliance teams to support ongoing tax administration and regulatory requirements. This is a detail-driven role that blends analytical work, systems expertise, and regulatory knowledge to ensure full compliance and operational accuracy.

Accountabilities

This role is responsible for ensuring payroll tax compliance, maintaining accurate employee tax data, and supporting ongoing audits, reporting, and issue resolution across multi-state payroll operations.

  • Perform regular audits of new hires and employee transfers to ensure accurate tax setup and compliance with applicable regulations.
  • Update and maintain state unemployment insurance (SUI) rates and related compliance data within payroll systems.
  • Process IRS lock-in letters and ensure employee tax profiles align with federal requirements.
  • Run and analyze payroll tax audits, including FICA withholding reviews, and implement necessary corrections.
  • Generate and maintain recurring compliance reports, including SUI exception reporting and specialized regulatory filings.
  • Review and resolve payroll tax-related service tickets and support issue resolution in coordination with internal teams.
  • Support ongoing improvements to payroll tax processes, systems accuracy, and compliance documentation.
Requirements

This role requires strong payroll tax expertise, analytical skills, and hands-on experience with multi-state payroll environments and tax compliance systems.

  • 2–4 years of experience in multi-state payroll tax, W-2 filings, or payroll compliance operations.
  • Strong understanding of payroll tax laws, taxable wages, and end-to-end payroll lifecycle processes.
  • Experience with payroll and compliance systems such as Workday and ADP SmartCompliance (or similar platforms).
  • Advanced Excel and reporting skills, with the ability to analyze and interpret payroll tax data.
  • Strong attention to detail with excellent problem-solving and analytical capabilities.
  • Ability to manage multiple priorities and deadlines in a fast-paced, regulated environment.
  • Strong communication skills and ability to work independently or within cross-functional teams.
  • CPP or FPC certification is a plus.
