About This Position

Duration: Full-time 12-month position

FLSA: Non-exempt/salaried

Schedule: Monday - Friday (plus scheduled events, early mornings for board and foundation meetings)

Hours: Full-Time 8 am – 4:30 pm

Job Purpose: The Executive Assistant provides senior-level logistical and administrative support to the Head of School and works closely with the school's board and foundation and senior administrative team on executing complex administrative tasks. The Executive Assistant works under minimal supervision and with a great deal of latitude, initiative and independent judgment.

Faith, Community, and Dominican Charism

· Ensure that the four pillars of a Dominican education (prayer, study, community, preaching) are developed and promoted among the school community.

· Develop an active faith community and model Christian values.

· Support prayer and spiritual formation within the student, faculty/staff, and parent communities.

· Uphold and implement the Dominican charism and the Houston Dominican Sisters' congregational goals.

· Demonstrate a commitment to equity and inclusion by honoring the dignity of each member of the St. Agnes Academy community.

Main Responsibilities:

· Provide administrative support to the Head of School

· Maintain the Head of School's calendar, schedule and arrange meetings, and make travel arrangements

· Maintain Board and Foundation contact information, communicate with Board and Foundation members, attend Board and Foundation meetings and take minutes

· Coordinate Board, Foundation and internal monthly committee meetings. (Head of School's team, Full Admin Team)

· Coordinate and support events: 2 emeritus advisory council dinners, Christmas faculty/staff party, volunteer appreciation luncheon, End of Year faculty/staff party, and end of year annual leadership dinner.

· Support the FSAC annual election process

· Manage annual service awards at year end event

· Work independently on ongoing projects or additional responsibilities assigned by the Head of School

· Act as a liaison between the Head of School's office and the school's divisions

· Work with all constituents (alumnae, current parents, past parents, board members, past board members) as a representative of the Head of School's office.

Qualifications:

• Commitment to embrace the mission of St. Agnes Academy

• Minimum of a four-year B.A./B.S. degree in Education, Guidance and Counseling or related field (Master's level preferred)

• School or not-for-profit experience preferred

• Proficient in Blackbaud products, including Raiser's Edge

• Proven ability to make sound decisions quickly with little or no supervision

• Strong interpersonal skills including discretion, patience and confidentiality and the understanding necessary to work for a diverse constituency of parents, donors, board members, students, faculty and staff

• Ability to handle confidential information

• Proficient with Microsoft office suite (Word, Excel, PowerPoint)

• Bring a proactive forward-thinking approach to each day

• Professional attitude and appearance

• Completion of Safe Haven training

Work Environment:

This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

While performing the duties of this job, the employee is regularly required to sit at desk area, communicate via phone/face to face, manually input data into a computer, walk to different office areas, reach with hands and arms, and lifting a minimum of 25 lbs.
